Job Description:
SUMMARY
Responsible for the project management of the Trio Training Grant funded by the U.S. Department of Education. Supervise, monitor, and improve the planning process for four training sessions. Training will occur via online LMS site, in-person, and a hybrid of the two options. The goal is to organize successful training of the budget management process to Trio staff around the United States. Employee will also provide support to the College Pathway Programs Team of grant-funded programs and Vice President of Access & Community Connections.
ESSENTIAL FUNCTIONS
- Manages, monitors, and documents the progress of the Commencement planning process and ensures that all team members are meeting the deadlines for their assigned responsibilities
- Plans and coordinates the logistics and other details of the College’s Spring and Fall Commencement ceremonies with key contacts at the venue
- Develops and monitors the Commencement budget, reviews and enters contracts in the My Contracts system, submits purchases orders, and manages communications with vendors
- Manages all the operational aspects of the Commencement process and serves as liaison between the District Office and the lead campus for Commencement
- Works collaboratively with the Nursing Program administration to coordinate the logistics and timing of the Pinning Ceremony and the Commencement Ceremony
- Manages the Commencement and the Access and Completion Division K-Web sites
- Develops and monitors the Access and Completion division budget, performs budget analysis and research, assists with budget procedures, and serves as liaison with the Budget Department during the annual budget preparation process
- Monitors the allocation and spending of enrollment funds at the campuses and coordinates capital equipment requests for the department
- Works collaboratively with the offices reporting to the Vice President and provides administrative support to the Vice President, Institutional Research & Enrollment Management
- Coordinates SAC committees and the interview process; serves as liaison to Provost’s Office and HR for the submission of hiring paperwork
- Drafts letters and other correspondence for the Vice President and diplomatically prepares confidential correspondence and documents for direct use by the VP and others in the College
- Manages, researches, and resolves student issues that reach the district level
- Researches and collects data, provides analysis, and complies reports for projects to support strategic enrollment, recruitment, retention, and completion
- Researches and serves as the liaison with Integrated Communications to create flyers, posters, and informational handouts to be distributed/posted at the campuses
- Assists with the interpretation of the application of College policies and procedures, contributes to the formulation of new College policies, and contributes to the revision of existing policies and procedures
- Performs other duties as assigned
REQUIRED QUALIFICATIONS
EDUCATION AND EXPERIENCE/TRAINING
Bachelor's degree in a related field and a minimum of five years demonstrated complex project management experience- Demonstrated experience planning, preparing, and monitoring a business area’s budget
- Demonstrated experience effectively making decisions that have major implications on the management and operations within a department
- Demonstrated effectiveness in a role requiring dynamic and abstract problem solving methods in adaptive situations
KNOWLEDGE, SKILLS and ABILITIES
