We are seeking an experienced Program Administrator for our Training Program who will also cover our Executive Assistant during her maternity leave this summer.
Are you a self-starter who is organized, caring, and connected to nature as your guide? Then you might be an excellent match for our position. The Program Administrator will be responsible for managing in-person training and retreats programs and supporting the Director and Executive Assistant.
Responsibilities include:
- Work side-by-side in the office with our Director
- Implement new training website
- Track/log attendances & enrollments
- Track/log homework submissions
- Track extra-curricular groups
- Chalk.com curriculum planning/maintenance
- Notifications & reminders for training events
- Coordinate retreat logistics
- Develop curriculum standards for certification
- Maintain resource libraries
- Monitor chat & discussion groups
Assume additional office responsibilities while the Executive Assistant takes leave June-August 2022:
- Scheduling appointments
- Scan/edit/format documents and printed materials
- E-mail correspondence
- Create Zoom meetings and manage registrations
- Create Doodle surveys
- Create DirectMail bulk emails
- Quickbooks bookkeeping
- Maintain Daylite database
- Maintain calendars with iCal, Calendly & Keep & Share
Experience and Skills needed to excel at the job:
- Knowledge of Mac computers and programs
- Experience in small office/home office settings
- Experience with Quickbooks for Mac (desktop app)
- Managing website using Wordpress
- Desire and ability to learn and adapt
- Discretion and confidentiality
- A calm and caring demeanor
- Excellent organizational and time management skills
- Ability to self-manage and see and do what needs to be done
At a minimum you will need a driver license and reliable vehicle.
This role is a full time position with flexibility in the future. Our headquarters are about 20 minutes North West of Portland, Oregon. Position will require some on-site work, as well as hybrid work-from-home. Hours will vary according to workflow and clients and the Director’s needs.
