POSITION SUMMARY:
Provide administrative support to the Deputy Director and Director of Federal Compliance ensuring day to day administrative tasks are completed in a timely manner.
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:
- Independently perform a wide range of complex duties under general guidance from manager/supervisor.
- Provide administrative and executive support to an individual, team, department or another group.
- Prepare complex detailed administrative, clerical, research and project tasks.
- Routes and responds to non-routine correspondence and assembles highly confidential and sensitive information.
- Schedules and organizes complex activities such as meetings, travel, conferences and department activities.
- Prepare and maintain SBA compliance documentation.
- Maintain federal database for contractors (SAM).
- Maintains and supports company records management and data (State Filings).
- Provides support for administrative systems, prepares reports, charts, budgets and other presentation materials.
- Prepares complex general correspondence; proofreads copy for spelling, grammar and layout; responsible for accuracy and clarity of final copy.
- Organize and prioritize large volumes of information.
- Create and maintains database spreadsheets as requested.
- Filing, copying and scanning.
- Other duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
- Proficient in MS Windows®, MS Project®, MS Office® (package), and Adobe® software.
- Must have excellent Microsoft Word and Excel skillset. Mandatory requirement.
- Highly attentive to professional details including style, grammar, and document formatting.
- Minimum of 6 years of previous administrative experience required.
- Familiarity with standard concepts, practices and procedures required.
- May direct and lead the work of others.
- Proven ability to learn quickly and work in a fast-paced team environment.
- Excellent written and verbal communication skills.
- Creative thinker, with a desire and ability to seek opportunities for continuous improvement.
- An uncompromising commitment to quality and rapid learning cycles.
- Proven ability to collect relevant information regarding a topic, review that information, and interpret after analysis of information, then report said research.
EDUCATION:
- High School diploma (or equivalent).
- Associate’s Degree preferred.
