Position Purpose:
defi SOLUTIONS is seeking an experienced Project Coordinator for its Program Management Organization (PMO). In this role, you will provide the practical knowledge, personal experience and effective business acumen needed to facilitate effective project coordination in accordance with defi standards. In addition, you will produce the documentation, presentation materials, metrics and reporting necessary to ensure defi’s PMO practice and delivery execution is aligned to support its business strategy.
This position will support the PMO Vice President in the development of rules, tools and process documentation for optimized execution, and day-to-day creation, start-up and execution of project management initiatives, including ensuring predictable, consistent, and successful delivery of detailed project estimates, resource plans, client statement of work (SOW) requests, ad-hoc reporting, and other administrative projects.
Essential Job Responsibilities:
- Document and maintain PMO rules, tools, processes, and standards.
- Provide professional support for the design, documentation, publishing and training of project management standards, processes, and support services.
- Create documentation depicting process designs, summaries, and narratives, create graphical process flow diagrams and other representations, and support required process review meetings.
- Monitor and evaluate new portfolio requests, including escalation and resolution, while ensuring completeness and accuracy so the governance board can prioritize them.
- Facilitate project initiation requests from detailed estimate through project execution, including scheduling and leading estimate meetings, creating resource plans and SOWs, working closely with program executives, client executives, and other corporate functions like legal and finance.
- Coordinate document management efforts for all PMO projects.
- Create, monitor, and distribute portfolio and project reports and metrics to appropriate decision makers, including weekly portfolio status reports, monthly regulatory, finance billing reports, metric exception reports, etc.
- Provide project optimization and administrative support for PMO leadership as necessary; support project managers in managing and controlling assigned projects.
- Manage small administrative projects, to include monitoring appropriate scope, schedule, budget, resources, tasks, and milestones.
- Create, document, implement, and socialize process improvements intended to increase efficiency and quality and train workforce on same.
- Perform project office administration activities including scheduling meetings, producing meeting agendas, meeting notes summaries, assisting with the creation of all internal and external documentation and presentations, etc.
- Craft and publish effective content, documentation, presentations, dashboard reports, etc., related to PMO business, and articulate/present to various audiences, including executive leadership.
- Compile and analyze data and translate analysis into meaningful and fact-based conversations.
- Provide business visibility to enable defi to anticipate, proactively manage and mitigate risks to avoid program and client impacts.
- Coach and mentor associates, teams, product sponsors, managers, and other stakeholders.
- Complete other tasks as assigned.

Required Qualifications:
- Bachelors’ in Computer Science, Engineering or comparable field, or equivalent experience.
- Minimum three (3) years’ project management/ coordinator experience
- Proven ability to create high quality, professional documentation, presentations, and training materials related to project management standards, processes, reporting, etc.
- Experience coordinating project management start-up activities in accordance with defined PMO rules, tools, processes, and standards.
- Advanced analytical, critical thinking and problem-solving skills to resolve complex business problems.
- Ability to handle multiple tasks, meet deadlines, and adapt to changing priorities with broad guidance and without direct supervision.
Preferred Qualifications:
- Familiarity with MS Project and/or other project planning software
- Certified Associate in Project Management (CAPM) certification from the Project Management Institute (PMI), or equivalent.
