Job Description
The Program Management Office (PMO) Support works within the Delegata organization structure under direct supervision to perform administrative functions to support the health and growth of the overall business through fulfilling the mission to be a high-value service provider to Delegata management and consulting staff and assists in day-to-day PMO operations. This individual must ensure that services, processes, methods, and tools are used according to defined procedures for PMO Support.
Position Description (Duties and Responsibilities):
- Resource Management / Planning
- Lead/facilitate resource acquisition, deactivation, and management. Support Delegata’s recruiting efforts as needed.
- Review recruiting candidate qualifications against mandatory/desired resource qualifications. Coordinate and facilitate candidate communication, including scheduling interviews with Delegata staff and interview follow-up.
- Ensure that Delegata’s recruitment activities are effective and efficient by coordinating closely and continually with appropriate internal and external resources.
- Identify, develop, implement, administer, evaluate, and update recruiting policies, processes, and procedures.
- Ensure compliance with resource management standards, policies, and procedures are maintained throughout the company.
- Track and enter into information systems relevant resource management lifecycle data.
- Create routine and ad hoc management reports.
- Work with project leads to ensure develop/maintain resource utilization.
- As needed, work with Recruiting vendor(s) to develop pipeline to fill anticipated resource needs.
- Contract Management/Administration
- Assist in maintaining engagement/project information.
- Assist in administering contracts.
- Receive, file, and distribute contracts.
- Assist in developing/routing task orders (TOs) and deliverable acceptance documents (DADs).
- Review/finalize/issue invoices.
- Quality Management
- Provide quality assurance, as it relates to our process.
- Support engagement and project audits and reviews.
- Support business performance through analyzing and detecting variances in engagement and project budgets and actual performance.
- Other tasks as assigned
- Assist in maintaining PMO folders and files (e.g., schedules, reports, reviews, risks, issues, etc.).
- Assist in creation and maintenance of PMO reports.
- Provide basic end-user support and training.
- Assist in maintaining user set-up.
- Assist in setting up and maintaining engagements and projects.
- Assist in business development / proposal activities as appropriate.
Mandatory Qualifications:
- Flexible and able to adapt to changing priorities and fast-paced environment.
- Skilled in effectively using standard office tools (MS Project, Excel, Word, PPT, Visio, etc.).
- Skilled in conveying messages in written, verbal, and graphical ways to get a point across.
- Skilled in working in small, interdependent teams.
- Must be willing to train in Project Management topic areas.
- Must be willing to make use of systems provided to facilitate quality and consistency.
- Must be genuinely concerned about meeting required needs and expectations.
- Experience developing and executing formal Resource Management Plans or equivalent.
- Experience using formal resource management tools (e.g., resource tracking databases, etc.).
- Excellent written and verbal communication skills.
- Strong ability to interface with staff, external stakeholders, and managers at all levels to achieve program goals and meet deadlines
- Detail oriented.
- Ability to effectively present management reports
Desirable Qualifications:
- Experience participating in PMO’s or project management related activity
- Experience performing hands-on resource coordination and/or recruiting (in a technical consulting firm a plus)
- Skilled in reporting progress and status on programs or projects.
- Skilled in analysis of routine program or project information.
- Knowledge of project lifecycles, exposure to project management methodology.
- Experience in project coordination/administration.
- Delivering services in a collaborative environment.
- Excellent writing skills to assist with process documentation and QA review
Education, Certification, & Training Experience:
- Bachelor of Arts or Sciences in a related discipline.
