Job Description


Manager, Business Operations is responsible for supporting and implementing the visions of team leadership to ensure the account is operating in the most efficient and profitable manner. This includes elevating the overall quality of systems, tools and process as well as overseeing digital campaign management for In-House financial stewardship responsibilities. This temporary role is an immediate opportunity through mid-September, 2022.

The Manager, Business Operations will have day-to-day responsibility for supporting the account. He or she is expected to have a functional working knowledge of the media space (all channels including digital media) including standard planning and billing tools like Workhorse (Media Tools), Prisma and DDS/MediaOcean. Manager, Business Operations will ensure all deliverables internal and Client facing are executed according to plan and agreed timelines.

KEY AREAS OF RESPONSIBILITY

Responsibilities include, but are not limited to:

Business Operations and Media Execution:

  • Supervise team in maintaining client In-House digital media budgets and changes to media plan post negotiations
  • Manage client relationship with In-House media teams
  • Overarching management of financial stewardship process for In-House digital media, including overseeing team responsible for entering/updating digital buys and reconciliation/actualization process
  • Ensure checks and balances are in place and timelines are adhered to
  • Understands intricacies of various tracking services
  • Works with Digital Ad Operations to ensure flawless implementation
  • Understands general activation capabilities of all available media tactics

Identification and implementation of agency Best Practices

  • Supporting Associate Director, Operations in implementation of best practices for the account – systems, processes to meet all business requirements
  • Facilitate training and account team utilization of standard tools (Planning/Buying)
  • Ensure adherence to the defined Account Operating Manual
  • Ensure Client deliverables/requirements are understood and adhered to for all team members
  • Support defined strategies for sustained operational excellence across the account(s)
  • Manage DDS security administration, training and guidance
  • Participate in cross discipline status meetings to ensure alignment to objectives/goals

Strategic Thinking & Leadership

  • Support agency standardization and automation efforts for the account
  • Escalate issues, know when and to whom to escalate
  • Manage multiple deliverables and seamlessly transition among them
  • Provides leadership and expertise in assessing Media tools, solutions and workflows.
  • Project manages evaluations of new and/or alternative solutions
  • Ensures key data sets are kept accurate and up to date on an ongoing basis
  • Provides guidance to team members, nurtures/promotes team environment

Account Execution:

  • Manage the maintenance of account budgets, monthly reconciliation and phasing reports
  • Work in conjunction with all teams on billing and invoicing to maintain consistent accuracy in client reporting

Client & Internal Relationships:

  • Build positive relationships with internal and external teams
  • Ensure expectations are set, understood and met for all key deliverables – internal and Client facing
  • Create, own and manage the account schedule – dates and gates

Communications Skills:

  • Express oneself clearly and concisely in oral communications
  • Write in a clear, compelling and concise manner
  • Organize ideas and information logically and sequentially
  • Assist in development of media presentations and tactical POVs
  • Ensure key information is provided to team regarding client issues, internal agency issues, etc.


Qualifications


EXPERIENCE/KNOWLEDGE REQUIRED:

  • Bachelor’s Degree in advertising/marketing
  • Minimum 5 years media planning/buying experience
  • Proficient in Excel and PowerPoint
  • Able to work well in a team environment
  • Attention to detail
  • Strong organization and time management skills
  • Ability to contribute to improvements in processes in an effort to increase efficiencies
  • Participation in at least one full planning cycle and execution cycle
  • Basic understanding of media process from start to end (plan, buying, billing and reconciliation)
  • Thrive in a fast-paced, constantly changing environment; adapt plans due to changes in client objectives, priorities or budgets while minimizing impact on project momentum
