Design Catapult is presently seeking a full-time Admin Assistant/Receptionist who is multi-talented and is willing to accept a role with diverse responsibilities and adapts to changing environment. Our ideal candidate is responsible for handling front office reception and administration duties, including greeting guests, answering phones, handling company inquiries, and sorting and distributing mail. Also, to schedule meetings and travel for executives, as well as experience with purchasing and inventory control. We value integrity, team spirit, and strong organizational skills. Your role is to create and maintain a pleasant work environment for our employees and to support the business with efficient processes.
Qualifications Education & Experience Required:
· Telephone skills
· 2 years of receptionist experience
· Excellent verbal communication
· Microsoft office skills
· Professionalism
· Experience with QuickBooks
· Highschool diploma or GED
· Punctual, clean, meticulous and organized
Duties, Authorities, & Responsibilities:
· Answer telephone, screen and direct calls
· Take and relay messages
· Provide information to callers
· Greet persons entering organization
· Direct persons to correct destination
· Deal with queries from the public and customers
· Ensure knowledge of staff movements in and out of organization
· Monitor visitor access
· Maintain appointment log
· Provide general administrative and clerical support
· Prepare correspondence and documents
· Receive and sort mail and deliveries
· Schedule appointments when necessary
· Organize conference and meeting room bookings when directed
· Provide meeting refreshments
· Monitor and maintain office equipment
· Control inventory relevant to reception area
· Tidy and maintain the reception area
· Prepare and issue R&D Purchase Orders in QuickBooks, file in proper folders, update PO Log and follow up for confirmation of receipt and timely delivery
· File RMA documents
· Provide recommendations to strategically enhance financial performance and business opportunities.
· Ensure that effective internal controls are in place and ensure compliance with GAAP and applicable federal, state and local regulatory laws and rules for financial and tax reporting.
