Job Description

Dewberry is currently seeking a detail-oriented Administrative Coordinator to join our Peoria, IL office.  The Administrative Coordinator will support the Business Unit, Project Managers and overall office with a variety of administrative and project accounting functions in a customer-focused and integrated professional services environment. Typical assignments are diverse and require strong communication and collaboration skills. The Business Unit includes multiple offices and support of functions outside of Peoria will be performed virtually.

Responsibilities

Project Accounting Responsibilities:

  • Assist with day-to-day financial management of assigned projects – including job/contract set up, coordinating contract review, and job close out
  • Assist Project Managers with client invoicing, accounts receivable tracking and collections
  • Routinely prepare and distribute financial reports (standardized, monthly, quarterly, and as needed)
  • Process subconsultant requisitions/agreements and invoices
  • Assist as necessary with inquiries on time entry, expense reporting and other business processes

 

Administrative Responsibilities:

  • Support Business Unit Managers, Project Managers and other professional and technical staff.
  • Serve as Event Coordinator for team events, holiday parties, and in-house guest presentations.
  • Coordinate on-site and off-site meetings and events.
  • Arrange travel and process Business Unit expense requests and supply purchases.
  • File and archive both electronic and hard copy project-related documents
  • Manage incoming mail, assist with the packaging and coordination of mailing letters, site/hearing notices
  • Recommend administrative process improvements and work with Leadership to execute new procedures.

Required Skills & Required Experience

  • Associates degree preferred
  • Minimum of 3 years of bookkeeping/accounting experience
  • Experience working with Engineering or Architectural firm a plus
  • Knowledge of project accounting software, such as Deltek Vantagepoint
  • Expert level knowledge of Microsoft Office products including MS Word, MS Excel, MS PowerPoint, MS Outlook and Adobe Acrobat required
  • Ability to become proficient in company based computer software programs and processes.
  • Must have strong mathematical skills for accounting and financial reporting 
  • Must be service oriented and flexible with a “can do” attitude
  • Must be able to organize and prioritize workload as needed to meet schedules
