Job Title: Equipment and Materials Dispatcher

Position Summary:
The Equipment and Materials Dispatcher at our Earthwork, Underground Utility, and Concrete subcontracting company plays a pivotal role in the efficient operation of our projects by coordinating the deployment of company-owned equipment, rental equipment, and materials such as concrete, aggregate, and soil stabilization products. This position requires excellent organizational skills, strong communication abilities, and a keen attention to detail to ensure the timely and accurate delivery of resources to job sites.
Key Responsibilities:
1. Equipment Coordination:
- Receive work orders and project specifications from project managers or superintendents.
- Schedule the deployment of company-owned equipment, including excavators, loaders, trucks, and specialized machinery, to job sites based on project requirements and availability.
- Coordinate the rental of additional equipment as needed, liaising with rental companies to secure appropriate machinery and ensure timely delivery and pick-up.
2. Material Procurement:
- Receive and process orders for concrete, aggregate, soil stabilization products, and other materials required for project execution.
- Coordinate with suppliers and vendors to ensure timely delivery of materials to job sites, monitoring inventory levels and reordering as necessary to maintain adequate stock.
3. Dispatch Operations:
- Maintain constant communication with field crews, supervisors, and drivers to coordinate equipment and material deliveries, address scheduling conflicts, and provide support as needed.
4. Customer and Vendor Relations:
- Serve as a primary point of contact for subcontractors, suppliers, and rental companies regarding equipment and material orders, deliveries, and service requests.
- Address inquiries, concerns, and issues related to equipment availability, delivery schedules, and product quality in a prompt and professional manner.
5. Documentation and Reporting:
- Maintain accurate records of equipment utilization, rental agreements, material orders, and delivery schedules.
- Generate reports on equipment and material usage, inventory levels, and delivery performance to support project management and decision-making processes.
- Assist with billing, invoicing, and procurement documentation as needed, ensuring accuracy and compliance with company policies and procedures.
Qualifications:
- High school diploma or equivalent; additional education or training in logistics, supply chain management, or related field preferred.
- Proven experience in dispatching, scheduling, or logistics coordination, preferably in the construction industry or equipment rental sector.
- Familiarity with inventory management systems, and communication tools.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks and adapt to changing priorities in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to effectively interact with internal teams and external vendors.
- Knowledge of construction equipment, materials, and terminology preferred.
- Ability to work independently with minimal supervision and make sound decisions under pressure.
- Flexibility to work non-standard hours and respond to after-hours emergencies or on-call duties as needed.
- Fluency in both English and Spanish, with excellent verbal and written communication skills in both languages is a plus
