Position Summary
The Office Administrator plays a key role in supporting the Digital323 main office. This dynamic position works directly with our Office Manager and provides key support in many functions of our finance, HR, administrative, and procurement initiatives. The Office Administrator plays a valuable role in our commitment to caring for our team and creating a welcoming, organized, and collaborative working environment.
Duties and Responsibilities
Office Administration (10%):
- Greet office visitors, accept company deliveries, and maintain process for documenting deliveries.
- Oversee the daily operation of the office and act as liaison with building management.
- Maintain and organize the office to accommodate our growing team.
- Coordinate team lunches, stock/maintain office kitchen, and order/maintain office supplies.
- Drop off packages for shipping, pick up supplies etc, as needed.
- Assist with employee time sheet review and monthly client billing.
Procurement Administration (50%):
- Work directly with our Service Delivery Teams to place orders for client hardware/software projects.
- Collaborate with our Service Delivery Teams to gain understanding of scope and timing for procurement initiatives.
- Assist in building quotes for client review/approval.
- Place orders with vendors and oversee the buying process to ensure all items are delivered on time and within specification.
- Use available software systems to track and communicate with key stakeholders during each step of the ordering, receiving and hand-off processes.
- Assist in maintaining proper inventory levels as set by Digital323.
- Directly assist in maintaining efficient and accurate financial records for all internal and external purchases.
Financial Administration (20%):
- Assist in budget tracking and expense management.
- Assist in reconciling financial transactions.
- Assist in preparation of financial documents and reports.
- Send monthly statements to clients.
- Collaborate with the Office Manager to ensure accurate financial records.
Human Resources Support (20%):
- Assist in the recruitment process by coordinating interviews and onboarding activities.
- Assist in the maintenance of employee records and HR-related tasks.
- Support the implementation of HR policies and procedures.
- Assist in the planning and execution a variety of employee events, including team building activities, team socials, holiday parties, company outings, meetings, etc.
Other Duties as Assigned
- Performs other such duties as assigned within the scope of the position and program description, as well as those reflective of your experience, education, and ability.
Hard Skills and Experience
- Proficiency in Microsoft Office Suite is required.
- Proficiency with ConnectWise, and/or Quickbooks is an advantage.
- 2 years of administrative, accounting, or HR experience is an advantage.
- Experience maintaining confidentiality and handling sensitive information with discretion.
- Minimum of an Associate’s degree or equivalent work experience is required.
Physical Demand
- Must be able to lift, carry, push, pull, reach, or otherwise move objects up to 50lbs.
- Must be able to flourish in an office environment, while working at a computer for large portions of the workday.
Travel
- Local travel to/from store, restaurant, etc, or client site may be needed on occasion.
- Regional, national, or international travel is not required.
Other
- Valid driver’s license, auto insurance, and reliable transportation.
- Must be able to pass state and national criminal background checks.
Compensation
- Salary range is $45,000 - $55,000 depending on experience.
Job Type:
- Full-time with a standard workweek comprising 40 hours per week, Monday-Friday.
- In-Office: Required to work on site at the Digital323 office during normal work activities.
