Junior Meeting Planner - Remote

Position Overview

As a key member of the Meetings & Incentives team, the Junior Meeting Planner will be responsible for assisting and contributing to planning meetings/incentives in an administrative role.

This is preferred as a hybrid role but can be fully remote for the right candidate.

Responsibilities

Ensure accurate and timely entering of records and information into database system.

  • Create and Manage Website Registration Sites and Databases
  • Orchestrate Travel Arrangements for Attendees
  • Draft program documents and communication for programs.
  • Draft Timelines for meetings and incentives.
  • Prepare close out reports as it pertains to our client service requirements.
  • Draft Post Con or Meeting History Reports.
  • Begin Reconciliation Checklist Coordination.
  • Conduct file audit processes/procedures.
  • Manage the expense reimbursement process and vendor payment requests.
  • With proper training, understand the parameters and limitations associated with PHARMA guidelines.
  • Negotiate agreements and terms with vendors for the health of the event budget.
  • Demonstrate industry knowledge by contributing effective ideas.

Basic Qualifications

College degree preferred

  • 1-3 years experience in Meetings & Incentives or hospitality industry.
  • Proficient with Windows operation system and variety of software programs
  • Excellent written and verbal communication skills
  • Time management and organizational skills (Proficient at multitasking)
  • High level of detail orientation
  • Strong customer service skills
  • Excellent leadership skills
  • Strong in delegating and quality control management
  • Self-motivated and ambitious
  • Prior experience working with attendee management systems preferred.
  • Demonstrate ability to learn and adapt to changing procedures, methods or processes and assist in teaching others.
