Administrative/Client Service Assistant with Communication Skills

The Office Manager will be the first impression of our firm when clients call our office or come in for a meeting. If this excites you, please contact us immediately!
Responsibilities:
- Answer phones and direct calls to the appropriate party
- Greet clients, offering to situate them comfortably in preparation for meetings with their advisor or client service associate
- Aid client service team as needed
- Maintain polite and professional communication via phone, e-mail, and mail
- Maintain up-to-date client contact information in CRM program and maintain other business logs
- Provide support for marketing projects and client communications, including onboarding of new clients and other relationship-building opportunities
- Assist with day-to-day office operations, ensuring office area is clean, organized, and professional
- Anticipate needed supplies and maintain supplies inventory
- Receive, sort, and distribute incoming mail and packages
- Coordinate the repairs and maintenance of office equipment
- Maintain strict confidentiality of all client and firm business
- Provide back-up bookkeeping support as needed
- Help with and over time take over all payroll responsibilities.
- Perform other related duties as required
Requirements:
- Associates degree or higher preferred, or 1-3 years of related experience
- Excellent verbal and written communication skills
- Passion for providing an unbelievable client experience
- Professional and courteous demeanor
- Detail oriented and well-organized
- Ability to multi-task
- Strong computer skills, with experience in Office 365 suite
- Adherence to firm’s Privacy Policy, Client Confidentiality, and Code of Ethics, as well as regulatory policies and procedures
- A “can do” attitude and willingness to wear many hats within an office environment

Pay: $40,000.00 - $60,000.00 per year
