DESCRIPTION
Mail room Associate - On Demand Imaging Process Operator
This role is part of the Operation Centers team for Global Business and Document Services (GBDS). Consultant will be part of a group responsible for providing 3 stages of service for document processing: Search & Clean, Prepping, Discarding – based on guidelines provided by management staff.
RESPONSIBILITIES
- Ability to read, interpret and retain information
- Ability to lift up to 40lbs.
- Ability to working standing or sitting for a full shift (up to 9 hours)
- Understand how to operate Kodak Scanners and OPEX Mail Machines.
- Works with Leads/Supervisor on best practices for working with the equipment
- Monitor and maintain needed supplies for their station/work area
- Print out and quality-check first copy of job for color accuracy, appropriate and consistent formatting, proper pagination and completeness to ensure that the document accurately reflects what the client submitted or what the file contains. Make any necessary corrections prior scanning document into the system.
- Monitor request status and escalate as necessary to effectively address issues and ensure completion by request deadline
- Complete all requests accurately and efficiently, in accordance with specified deadlines, estimates, instructions and departmental standards/guidelines
- Ensure that documents accurately reflect client specifications by checking completed work against instructions and sample for accuracy, completeness and consistency
- Develop and maintain in-depth knowledge of departmental templates, standards and best practices
- Manage own work with full accountability for ensuring quality, timeliness and client satisfaction associated with it
- Communicate effectively, proactively and professionally with operation staff, management and internal clients
- Consult colleagues to clarify document-specific questions and, if necessary, contact clients for clarification to ensure proper management of files (prior approval by supervisor required)
- Communicate and escalate request-specific issues to Operation Coordinator or Client Service Manager, notifying immediately if estimate and/or deadline will not be met and must be renegotiated
- Troubleshoot challenges by providing effective solutions to complete task
- Operate as part of larger Production team, supporting and leveraging off others as needed, sharing accountability for the team results, including completed requests
- Collaborate with colleagues to process work more efficiently (e.g., when appropriate, split large or time-sensitive jobs to ensure that deadlines are met)
- When sharing work with another operator, communicate and coordinate to ensure overall consistency and quality of completed request
- Perform production coordination, project coordination, special projects or other assigned responsibilities, as needed
- Assist in filing electronic files according to departmental procedures
- Maintain clean, safe work environment and report equipment problems in timely manner
- Communicate/escalate issues and opportunities for improvement
- Perform duties in accordance with departmental policies and procedures
- Utilize departmental workflow, document management, scheduling and timekeeping systems as required by role
- Report to work as scheduled, unless directed otherwise by manager
- Adhere to the Code of Conduct standards regarding professional and personal conduct
SKILLS (MUST HAVE)
- PC knowledge (Microsoft Office: Outlook Word, Adobe Acrobat, Excel)
- Prior document handling, printing and scanning experience in banking and/or professional environment
- Familiarity with commonly produced investment banking documents
- Prior knowledge of scanning equipment such as Kodak and Fujitsu Scanners
- Ability to learn to work effectively in departmental business applications (Kofax, Image Capture, Citadel, Workflow Exchange, Dealworks, shared drive)
- Ability to read instructions carefully and retain information on how to execute tasks
- Attention to details
- Ability to accurately estimate time required to complete requests and establish realistic deadlines based on client needs, workload and operator availability
- Ability to effectively and efficiently quality check own work and that of colleagues
- Strong client focus and commitment to delivering consistently excellent customer service

Job Types: Full-time, Contract
Pay: $15.00 - $16.00 per hour
