Position Summary
If you’re a detail-oriented professional with strong organizational and communication skills, Doane University is looking for a skilled Executive Assistant to support the Office of Institutional Advancement on our Crete campus! As the Executive Assistant, you’ll play a crucial role in providing essential administrative support to the Vice President of Institutional Advancement and the Advancement Office, including alumni and development areas.
The Executive Assistant is the first point of contact for visitors, manages phone communications, and handles mail distribution. You will support staff by approving leave requests and coordinating various office tasks such as ordering supplies, maintaining the office calendar, and overseeing the file system. Your responsibilities will also include coordinating meetings for the Board of Trustees, assisting with alumni and advancement activities, and maintaining accurate records in our administrative system.

Salary
The pay is determined by experience and ranges from $19.50 – $22.50
Minimum Required Qualifications
An associate’s degree plus 3 years of experience working in an administrative assistant/executive assistant role.
- Excellent interpersonal skills and the ability to work with a variety of constituencies inside and outside the university.
- Excellent written and verbal communication skills. Ability to compose correspondence with attention to detail and accuracy. High level of proficiency in the use of computer software including Microsoft Office, G-suite, Zoom, spreadsheets, and other Internet applications.
- Ability to manage multiple priorities with frequent interruption and remain calm under pressure.
- Demonstrated ability to adapt to changes in the work environment, and manage competing demands and details with frequent changes, delays, or unexpected events.
- Ability to meet deadlines, prioritize workflow, and work independently in a fast-paced environment with minimal supervision.
- Work well independently as well as part of a team
