Responsibilities

The Real Estate Operations Specialist will support the Donohoe Real Estate Services (DRES) team on administrative, operational and analytical projects and tasks.  Using expert organizational, communication and team building skills, the Real Estate Operations Specialist will serve a key supporting role in ensuring the DRES business units drive and comply with operational initiatives.  This position will report directly to the Division President.

 

Key Responsibilities of the Real Estate Operations Specialist include:

  • Perform market research and analysis; assist team with preparing quarterly financial reports and executing project-related tasks.
  • Actively partner with internal Marketing team to increase and enhance business development efforts, client engagements and market visibility; assist in creating marketing collateral, presentations and proposals.
  • Coordinate logistics for client and team meetings, as well as departmental engagement events. Prepare agendas, schedules and document minutes when needed.
  • Responsible for managing divisional content for the Company’s communication platform. Ensures information is timely, relevant and engaging.
  • Provide administrative support to the Divisional President; including but not limited to preparing & submitting expense reports, ordering divisional business cards and calendar maintenance.
  • Liaison with the DRES Facilities Manager to effectively and efficiently on/off board employees.
  • Manage the division’s Docusign account and other software activities.

Qualifications

To be successful in this position, you should have:

  • Proficiency utilizing Microsoft Office programs, with an emphasis on Word and Excel is required; a working knowledge of Real Estate and Marketing software is a plus
  • Excellent communication (written/presentation/interpersonal) skills
  • Strong organizational and analytical skills, ability to take initiative, multi-task, and anticipate needs. Must be detailed oriented and able to handle sensitive and confidential information
  • Exceptional customer service. Must be proactive and able to work well and build relationships with all levels of internal management and staff, as well as external clients
  • Minimum of 3 years of relevant experience, preferably (but not required) in the Property Management, Brokerage, Project Management or Financial industry
