Job Overview
Enrollment Management and Student Success is seeking a Program Manager, Academic Records.
Essential Functions
- Processes all academic records for the Office of the University Registrar
- Coordinates and processes all student record updates (e.g., change of curriculum and status, withdrawal, leave of absence and all other updates to the academic record)
- Maintains the electronic filing functions of the Office of the University Registrar
- Helps to develop business processes and solutions with various departments with respect to academic records
- Works closely with Drexel Central regarding questions related to grading, transcripts, and academic records
- Works closely with the Sr. Associate Registrar, Associate Registrar and Assistant Registrar with all academic related issues
- Oversees processing of transcripts, certifications, and degree verifications for the Office of the University Registrar
- Ensures the data integrity in systems and scrutinizes business practices for academic records
- Adheres to all related Hyperion audits
- Assists with training in all areas of academic records
- Provides customer service to all administrative areas related to academic records
- Designated point of contact for transcripts, enrollment certifications and degree verifications
- Assist with all academic record issues for the Main Campus with the Assistant Registrar
- Manages production and maintenance of student transcripts and student academic records
- Responsible for keeping statistics related to transcript, degree verification and enrollment verification processing
- Manages 2 University Registrar email accounts
- Provides total support for adherence to policies and procedures laid forth by FERPA
- Provides backup for Assistant Registrar for Academic Records
- Develops proactive plans to eliminate error and redundancies with all processes with intent on process redesign and improvement
- Follows the operations calendar for The Office of The University Registrar
- Reports directly to the Assistant Registrar for Academic Records
- Performs all duties as assigned
Required Qualifications
- Minimum of a High School Diploma or GED
- At least 1 year of experience required
- Banner experience preferred
- Banner student system experience preferred, operating in an academic role
- Related experience using report-generation tools, such as MS Access, Hyperion Query and Excel
Preferred Qualification
- Bachelor’s Degree preferred but not required. Related academic tenure and work experience can substitute for BS/BA requirement
- Excellent analytical skills and self-motivation with respect to related projects
- Excellent interpersonal skills and demonstrated ability to function as a team player
- Ability to work independently or as part of a team
- Excellent organizational and planning skills
- A self-starter that takes initiative
- Experience in training and dealing with all personality types
- Experience with writing process documentation
