Occupational Summary
Provide overall administrative management and coordination of a variety of business-related functions such as, but not limited to: finance, budget, human resources, policy interpretation and dissemination, maintenance, strategic planning, space and facilities planning, and grant administration for Natural Sciences department within Trinity College of Arts and Sciences.
Work Performed
Leadership
Partner with the Chair to provide students, faculty, and staff with the opportunity to learn and perform research in a highly integrative and interactive setting.
Champion the departmental vision, priorities; foster a culture of diversity, curiosity, and excellence.
Mentor new managers in the Natural Sciences.
Assist with and serve on search committees for Arts and Sciences staff positions.
Represent department chair in meetings and conferences and other affairs of an administrative nature. Prepare reports and analyses to include financial reports, setting forth progress, identifying adverse trends, and making appropriate recommendations.

Finance and budget management
Plan departmental budget needs (exceeding $10 million) by analyzing program plans on both a short- and long-range basis, including projecting possible levels of support from multiple sources of funding. Determine fiscal requirements, make projections, and prepare departmental budgets; monitor, verify, and reconcile expenditure of budgeted funds; analyze financial statements reflecting status of programs and activities; ensure compliance with University policies and procedures.

Research Administration
Supervise the grant preparation and management processes. This includes the preparation of grant proposals to include compilation of data and preparation of budget projections; monitoring and verifying expenditures; ensuring compliance with University and sponsoring agency policies and procedures; and preparation of financial and administrative reports for submission to sponsoring agency.
Collaborate with research and teaching lab managers to foster a safe and sustainable working environment through the dissemination of relevant information, invited speakers, and training opportunities.

Space and Facilities Planning
Maintain interface with departmental staff to coordinate operational activities to ensure adequate support; provide oversight for space and facilities including identifying additional facilities for scientific education; coordinate purchasing, maintenance, and renovation activities for the department; administer a program of property management and accountability.

Human Resources Administration
Serve as departmental liaison with administrative and professional personnel concerning University policies and procedures, personnel administration, grant administration, and budgetary preparation and control. Partner with Arts and Sciences administration to continuously improve human resource and financial management policies and procedures.
Supervise and coordinate work of designated employees; manage performance and recommend professional development opportunities as needed; manage personnel activities to meet University and departmental objectives; provide guidance and education regarding Duke HR processes and policies as they relate to: training, equitable pay, fair hiring practices, diversity and inclusion, and wage and salary administration; advise on employment terms of faculty and administration of appointment procedure.

Minimum Qualifications

Education
Work requires a general business background generally equivalent to a bachelor's degree in a business related field.
Experience

Work requires 7 years related business or administrative experience OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE to acquire competence in applying general personnel practices, accounting and budgeting principles and coordination of major administrative functions. A master's degree in a business related field may be substituted for 2 years experience.
