Marlen is currently seeking a full-time Administrative Assistant to join our team in Riverside, Missouri.
The Administrative Assistant is responsible for providing administrative support. The incumbent will handle a variety of complex administrative duties that require a detail-oriented person who is self-motivated, a quick learner, and capable of managing multiple tasks.
ESSENTIAL RESPONSIBILITIES:
- Coordinate solution center or sales/customer-related activities including ordering meals, handling of accommodations, distribution of visitor packets, preparation for customer visits, etc.
- Coordinate tradeshow activities and annual sales meetings, including registrations, hotel accommodations, meeting space reservations, certificate of insurance, etc.
- Support engineering with printing and binding of owner’s manuals and preparation of drawing files/packages, and declaration of conformity letters
- Monitor and fulfillment of office/departmental supplies, marketing literature and promotional items
- Assist with charity events and campaigns.
- Prepare and edit correspondence, reports, and presentations
- Receive, sort, and distribute incoming daily mail
- Answer phones and greet guests.
- Preparation for Marlen training courses (table tents, certificates of completion, lobby welcome board)
- Maintain intranet in conjunction with IT and marketing, including a photo directory and contact list
- Record and distribute meeting minutes
- Coordinate building maintenance with vendors such as facility repairs and cleaning services
- Manage miscellaneous business-critical assignments
- Coordinate all-employee meetings via conferencing service
- Book travel on behalf of others
- Order, stock, and inventory office supplies
- Print business cards for new employees
- Review and approve vendor invoices
- Ensure that anniversary and birthday announcements
- Coordinate and assist with employee activities, event planning/coordination (set up and tear down)
- Assist leadership team with special projects and administrative tasks
POSITION REQUIREMENTS:

- Organizing documents and records using document sharing tools
- Excellent oral and written communication skills and be able to interact in a positive manner with leadership, staff, customers, and other visitors.
- Sound judgment, along with analytical planning and coordination skills.
- Ability to exhibit a high-level of confidentiality.
- Professional, outgoing individual able to learn new things quickly.
- Detail-oriented and have ability to multitask and take initiative.
- College degree or equivalent experience is preferred
- At least two years of relevant experience
