Summary:
Compiles and maintains accounts payable records for E. F. San Juan, Inc. and Youngstown Properties, LLC by performing the following duties.
Essential Duties and Responsibilities:
Include the following. Other duties may be assigned.
Receives and reviews all vendor bills and all emails and faxes received by accountspayable@efsanjuan.com. Reconciles bills against purchase orders and contracts. Reviews notations on purchase orders and resolves billing discrepancies; adjusts billing accordingly. Identifies appropriate cost account and payment date based on expense type and vendor terms. Reviews sales tax charged and adjusts as needed for compliance.
Prepares credit applications for new vendor accounts for Accounting Supervisor review and processing.
Reconciles credit card receipts and statements and prepares for payment.
Submits bills to management for approval. Requests checks for approved bills from the Accounting Supervisor and prepares for mailing.
Stamps bills with date paid and organizes for filing.
Occasionally enters accounts payable for donations, monthly payments, or other services as requested.
Reconciles month-end statements from vendors. Verifies bills with summary statement and submits to management for approval.
Tracks purchase orders received but not billed by vendors and prepares weekly status report.
Other Duties:
Assists with special projects or events as needed.
Performs other duties as assigned.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals to prepare invoices, statements, and reports. Ability to compute rate, ratio, and percentage.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Must be able to operate computers, printers, calculators, copiers, facsimile, telephones and other standard office equipment.
Must be proficient in word processing, spreadsheet, and accounting (e.g., QuickBooks) software applications.
Must work pleasantly and cooperatively with others.
Requires the ability to plan and organize own work with minimal supervision.
Requires discretion and tact when dealing with sensitive or confidential matters.
Must be able to work overtime as needed.
