Supervisor: Principal

Work Schedule:  Monday- Friday 7:45 – 3:45 (option to transition to 4 days a week once trained)

Start/End Date:  August 5, 2024 - June 13, 2025

Pay: Hiring Range starts at  $24.00/hour; plus health/dental/vision and PERA retirement benefits

SUMMARY OF JOB DESCRIPTION:

Maintains a smooth operation of the main office. Serve as registrar for student enrollment, attendance, and record-keeping within PowerSchool.  Assists with the supervision and coordination of substitutes and office staff. Responsible for assisting with health needs of students.  Supports internal and public communications and maintains strict confidentiality.

SUPERVISED BY:    School Principal/Assistant Principal

 

ESSENTIAL JOB ELEMENTS:

  • Perform general secretarial duties (i.e. filing, typing, keyboarding, scheduling, office management, confirmation of appointments, etc.) as directed by the building administrator(s). 
  • Train and assist in supervision of school secretarial and building staff and assign coverage of other staff when necessary. 
  • Manage & maintain student enrollment and attendance records.
  • Consult with the school nurse by phone regarding student's health status, particularly when unstable or questionable, and assist in carrying out the appropriate interventions according to the student's health plan (i.e. administering medication, contacting parent, or initiating a specific procedure). 
  • Process, maintain and act as SAM (SubFinder/Absence Management System) Building Level Administrator with the Principal to manage leave requests, problem solve coverage of in-house, and provide direct support for substitute teachers for building staff.
  • Act as administrative receptionist; maintain and update the activity schedule of the school/principal(s); aide the principal(s) in adhering to time schedules; establish and maintain an effective and efficient administrative office.
  • Coordinate all staff travel and field trips with the Transportation Department.
  • Process and coordinate public facility use agreements with building staff. Distribute and collect keys to facility(ies).
  • Screen and direct pertinent internal and external information and report information to appropriate administrators, faculty meetings and other meetings as determined by principal, initiate news releases, district/public communiqué.
  • Assist with hiring procedures, reference checks and vacancy management and personnel input for Evaluations.
  • Assist in the supervision of students in the main office, lunchroom and other requested areas. 
    Perform other duties as assigned.
  • Establish and demonstrate positive relations with students, parents, other staff members, and the community.
  • Ensure the accuracy, completeness, confidentiality, and security of all student information.
  • Comply with School policies and procedures.

Students,  parents,  support  staff,  principal,  master  teacher(s),  mentor  teacher(s), teachers  and  community members.

QUALIFICATIONS:

  • High school education or equivalent.
  • Three years previous secretarial.
  • One year of accounting/bookkeeping experience.
  • Working knowledge of computer: keyboarding, database, spreadsheet and word processing.
  • Effective communication and interpersonal skills utilizing positive conflict management strategies.
  • Effective organizational and time management skills.
  • Problem solving capabilities and ability to work with minimal supervision and direction.
  • Knowledge/experience related to basic principles of accounting.
  • Valid community First Aid and CPR card (or acquire within 6 months of hire).
