Earn to Learn is hiring a Program Coordinator - Next Steps to join our service driven team. This is a full time, benefits eligible, remote position with residency in the state of Arizona required. Earn to Learn has three (3) openings for a Program Coordinator - Next Steps. We use multiple postings for greater reach to find the best candidates.

POSITION SUMMARY: 

The Program Coordinator – Next Steps plays a key role in supporting Earn to Learn (ETL) leadership in administering and executing the Next Steps Program. This initiative aims to boost the participation of first-generation, low-income students in applying to, enrolling in, and successfully graduating from postsecondary educational opportunities.

This role provides front-line supervision to the Next Steps AmeriCorps Advisor(s) and oversees their services within partnered sites. Collaborating closely with host site supervisors, this individual establishes and fosters cooperative relationships with partner sites, including school district personnel, higher education administrators, and community-based college access professionals. The Program Coordinator – Next Steps’ responsibilities extend to potential involvement in future administration and execution of AmeriCorps or similar grants.

This individual must demonstrate excellent communication, collaboration, mentoring, project coordination, and organizational skills. 

ESSENTIAL FUNCTIONS:

Advisor Recruitment & Support

  • Utilize sound human resource practices and principles to recruit, enroll and retain Advisors
  • Facilitate the Advisor application process, including creation, acceptance, scheduling virtual/online interviews, documenting interview notes, and delivering offer information to applicants
  • Coordinate onboarding documentation, including Background Check, NSOPW, Fingerprinting, W-4, Payroll, Advisor Contracts, Advisor Identification, and filing and document record keeping
  • Coordinate logistics for the recruitment process by assisting with web page updates an actively sharing Advisor positions with community
  • Facilitate the enrollment of Advisors within Corporation for National and Community Service (CNCS) guidelines
  • Collect Advisor written service agreements that outline program requirements and expectations; ensure each Advisor completes required documentation for their Advisor file
  • Successfully match advisors and service sites
  • Offer direct support and guidance to Advisors, ensuring program model fidelity and compliance with CNCS regulations through in-person and virtual site visits, as well as effective and professional communication via emails phone calls, text messaging, and other various communication platforms
  • Oversee, support, and encourage Advisor hours and timesheets to ensure compliance with CNCS and successful completion of the program
  • Plan, facilitate, and follow-up after mandatory monthly check-ins with Advisors to foster professional working relationships, address any questions or concerns, and provide feedback
  • Organize, lead, and implement mandatory monthly member training sessions, track attendance, and conduct follow-up as needed.
  • Assist and provide encouragement to Advisors in planning and hosting events at their service site
  • Collaborate with the Community Engagement department to plan year-round outreach strategies to support recruitment
  • Maintain Next Steps program team calendar for year-round events and important dates
  • Collaborate with the Next Steps team to collect and review Advisor data to ensure adherence to program requirements
  • Coordinate and collect mid-term and end-of-term performance evaluations in partnership with Program Manager – Next Steps Operations for Advisors and partner sites
  • Facilitate the exit of Advisors within CNCS guidelines
  • Handle sensitive information in a confidential manner

Training and Event Coordination

  • Assist in the overall planning, facilitation, execution, and evaluation of events, trainings, and in-person and virtual orientations
  • Manage the training and events calendar for Advisors, tracking due dates and project deadlines
  • Assist in the delivery of educational training modules
  • Ensure Advisors attend required trainings/events and maintain detailed attendance records
  • Cultivate and foster a sense of community by facilitating member networking events and extra service opportunities
  • Send consistent emails providing extra hour opportunities and services within the community for Advisors
  • Organize mass communications between Advisors through third party applications, email, and texting platforms
  • Organize a committee of Advisors to oversee the planning and implementation of networking events for all Advisors to attend and build community 

Assessment

  • Assist in the assessment and long-term sustainability of the program to ensure Performance Measure targets are met
  • Work cooperatively with the Advisors and ETL leadership to monitor program activities to assist in program evaluation

OTHER DUTIES AND RESPONSIBILITIES:

  • Develop a dedicated, informed approach to working with students to foster greater access and success in postsecondary education among all students
  • Assist in the development of Advisor and site supervisor handbooks and update policies and procedures as needed
  • Partner with Program Manager – Next Steps Operations to gather Advisors’ professional development needs
  • Prepare outreach materials and submit proposals for events
  • Assist Next Steps Team, Advisors, and Partner Sites as needed
  • Other duties and responsibilities as assigned

MINIMUM QUALIFICATIONS: (Required unless stated as “preferred”, “a plus” or “desired”)

Education/Formal Training/Certifications:

  • Bachelor's Degree

Experience:

  • At least 1 year experience in project coordination (2 preferred)
  • At least 1 year experience with Microsoft Office 365 applications (2 preferred)
  • At least 1 year experience with electronic filing and database systems (2 preferred)
  • At least 1 year experience supervising staff or volunteers (preferred)

Knowledge, Skills, and Abilities: 

  • Comfortable in a “virtual office” environment using virtual systems to communicate with a geographically dispersed team
  • Familiarity with and a desire to increase competency with online software and platforms and eager to adapt to new technologies
  • Comfortable working in a fast-paced and evolving marketplace that requires flexibility and adaptability
  • Exudes a positive outlook and is willing to accept challenges and changes
  • Continuously solicits feedback for improvement and goal achievement
  • Competency with Outlook, collaborative chat, conferencing environments (Microsoft Teams), cloud- based document storage platforms (OneDrive/SharePoint), and Office 365 Suite
  • Excellent communication skills (non-verbal, verbal, written & listening)
  • Comfortable presenting and speaking in a public setting
  • Bilingual (Spanish and English) speaking, grammar, composition (preferred)
  • Fast learner with the ability to troubleshoot problems
  • Exemplary time and task management skills
  • Highly disciplined and organized
  • Ability to handle sensitive and confidential information with discretion
  • A self-starter who seeks and seizes opportunity
  • Very strong attention to detail and follow-up skills

           Other relevant experience may be considered as substitutes for above qualifications.

REMOTE WORK REQUIREMENTS

A combination of statewide travel and remote home office work is expected in addition to onsite work at schools and partner sites. The following are required for remote home office work: 

  • Dedicated private, quiet, professional appearing home office space for hosting webinars and conducting virtual video meetings
  • Reliable, password protected, high-speed home internet (at least 10 Mbps for a single user)

TRAVEL AND AVAILABILITY

The ETL Next Steps Program involves providing front-line supervision to AmeriCorps Advisors and close collaboration with site supervisors, including school district personnel, higher education administrators, and community-based college access professionals. Program Coordinators are expected to be available Monday to Friday, 8:00am–4:30pm (AZ time) but must be flexible to accommodate participant schedules. Weekly schedules may vary based on program cycles, with occasional evening and weekend work as well as statewide and overnight travel within AZ.
