We are partnering with a renown law firm with more than 35 years' experience in litigation, in its search for a Legal Secretary in Los Angeles, CA (Century City). Responsibilities
- Prepare NMM and Engagement Agreements and forward to Conflicts
- Oversee the file opening process
- Open temp file in iManage and network drive under 1000-001
- Transfer files from temp file to permanent file
- Prepare close matter memo (CMM) once case is over or transferred to another attorney.
- Work with all departments as necessary to finish the task
- Assist in file transfer process
- Prepare and submit expense reports via matter expert
- Prepare and submit check requisitions and invoices via matter expert
- Approve/deny vendor bills/statements – Veritext – First Legal - Nationwide
- Enter attorney time; edit/spellcheck and run reports as needed
- Some assistants are in charge of attorney inbox, saving emails to file, and reminding/following up re attorneys tasks.
- Working with paralegals and Litigation Support re document productions and eFiling of documents
- Produces legal documents from verbal or written instructions, dictation, shorthand notes, rough drafts, or other materials
- Proofreads and corrects documents for correct grammar, spelling, punctuation and format
- Prepares document shells
- Runs and cleans up TOC and TOA
- Prepares documents for final filing
- Sorts, opens, logs, and distribute incoming mail and facsimiles to attorneys
- Files and serves legal documents with proper courts or tribunals
- Maintain and updates case captions/service lists/hit lists
- Reserves court reporters for hearing and depos
- Formats and drafts pleadings and letter
- Gathers and compiles exhibits for briefs
- Prepares and assembles materials, documents, and exhibits for meetings, court appearances, and hearings
- Knowledge of court rules for formatting of documents as required by each court
- Schedules and arranges meetings and conferences and notifies interested parties
- Arranges travel for attorneys
- Schedules assigned attorneys’ calendar of meetings, conferences and hearings
- Maintains and updates calendars for assigned attorneys to ensure there are no scheduling conflicts
- Calendars events/deadlines by using the Firm’s CompuLaw calendaring system
Qualifications:
- High school diploma or equivalent required; associate's degree or certification in legal studies preferred.
- Proven experience working as a Legal Secretary in a law firm or legal department.
- Proficiency in Microsoft Office Suite and legal software.
- Strong organizational and multitasking skills.
- Ability to work independently and prioritize tasks effectively.
