What are the responsibilities and job description for the Project Admin (FT) position at eBryIT, Inc.?
Under the general direction of Support Manager or designee, this position will be responsible for the off-site management and administration of field installation projects which includes assistance and supervision of performance of assigned project personnel. This person will work closely with vendors and customer project staff striving to maintain the highest customer experience. Work at this advanced level is demonstrated through completion of work assignments with a high degree of independence.
RESPONSIBILITIES:
ESSENTIAL FUNCTIONS:
- Provides customer service and support in area of expertise by communicating well with clients; demonstrating ability to and understanding importance of developing client relationships; understanding customer needs and expectations; providing outlined technical expertise as directed; and maintaining professional image at all times.
- Manages assigned projects by utilizing time for maximum productivity; accounting for percentage of time worked for a client; keeping manager informed of project status; accurately completing tasks in a timely manner; coordinating with prime customer and prime customer’s client and company internal staff while resolving project escalations and issues; and using all available resources to resolve customer issues.
- Facilitates communications with vendors and customers for installation readiness in accordance with the applicable Statement of Work. Maintains accuracy and updates current project databases.
- Creates status reports for the vendor and customer as required.
- Participates and engages in weekly project meetings.
- Reviews subcontractor invoices for accuracy and approves for payment.
- Reviews employee timecards for accuracy and approves for payment.
- Ensures that projects meet defined project timelines and stays within budget.
- Coordinates and tracks any missing components of the client’s shipments. Reports claims to eBryIT corporate office for insurance purposes and provides all incident information.
- Responsible for ensuring proper project closure, including securing customer signoffs and ensuring that all interim and end-of-project billing has been completed.
- Communicates with eBryIT supervisor, making them aware of any billing discrepancies with vendor and/or customers with project related business.
- Communicates project status and shares project information with superiors and subcontractors.
- Manages department and company paperwork responsibilities by submitting completed, detailed, and accurate forms by the required deadlines.
- Adheres to company policies and procedures.
- Displays a consistently positive, cooperative, self-motivated, courteous and professional attitude as an essential function of this position.
JOB REQUIREMENTS:
EDUCATION/EXPERIENCE:
Required:
- High school graduate.
- Two (2) years or more of progressively responsible project management experience.
Preferred:
- Minimum of two (2) years of successful, proven performance in an Inside Project Manager capacity.
- PMP Certification.
- Advanced Excel skill set.
- Proficient in MS Project.
KNOWLEDGE, SKILLS, ABILITIES:
- KNOWLEDGE: Principles, practices, and methods of IT Projects. A working knowledge of database programs is preferred. Incumbent must have clear understanding and interpretation of Statement of Work documents. Knowledge of federal and state laws, and county regulations affecting client requirements. Knowledge of the basic techniques for conducting meetings and conveying technical information.
- SKILLS: Proficiency in planning, coordinating, and managing field installation projects. Excellent communications skills required. Attention to detail a must. Strong interpersonal skills are essential. Skill at performing all tasks and duties consistent with best practices, high ethical standards, and diligent work habits so as to act as a leader by example within the company. Skill at displaying ability to move beyond personal differences and contribute as a team member or leader. Skill at scheduling use of time, concentrating on vital issues, and maintaining focus in achieving project milestones and responsibilities of his/her accountabilities; resisting diversions and distractions. Skill at solving most client problems by understanding the situation and applying technical knowledge and/or established company protocols and assisting and advising newer and junior level employees within the department in solving problems and making decisions. Skill at displaying sufficient command of the written and spoken language to convey thoughts, ideas, recommendations and technical information in a clearly understood and concise manner. Skill at effectively raising issues and concerns with others in a way that maintains trust and credibility. Skill at acting as a resource to newer associates in the accomplishment of their objectives to help meet team and company goals. Skill at making and implementing difficult decisions necessary to assure quality performance in the best interest of the company and the customer. Skill at communicating issues to team members, superiors, project managers, and customers in a timely manner, asking for and offering help when necessary.
- ABILITIES: Ability to show proficiency in Microsoft Office products and demonstrate intermediate level PC technical skills. Ability to work independently with guidance to prioritize and complete tasks as per defined deadlines. Ability to assess client goals, needs, and interests with respect to the implementation/appropriateness of services solutions. Ability to provide work direction and mentoring to less experienced staff, and to coordinate, on a limited scale, teams of individuals. Ability to assume a leadership role, as needed, as a member of a project team.
