We're based in Columbus, with offices in Cleveland, Cincinnati, Akron, Portsmouth, and Toledo. For small business clients in Ohio, Kentucky and Indiana, we serve a one-stop resource center.
 
ECDI is looking for a Senior Leadership Executive Assistant for our Columbus ECDI Office.
 
The Senior Leadership Executive Assistant reports to the President and supports the offices of the CEO, President, and CFO. This position would anticipate the needs of the leadership members and help them stay focused on their projects by resolving operational and administrative issues before they arise. The Senior Leadership Executive Assistant will handle a wide range of administrative, organizational and executive support related responsibilities. The Senior Leadership Executive Assistant uses discretion, judgment and knowledge of the organization when dealing with all persons related to ECDI. This position sometimes requires 40 hour work week and candidate should be available to work extended hours during busy times.
 
This position is a hybrid role, required to be in-office part of the time to be present for employee interactions as an extension of executive leadership.
 
Essential Duties & Responsibilities:
 
Calendars / Scheduling:
  • Day-to-day support for the CEO, President, CFO including calendar management and arranging logistics for program travel and meetings, requiring interaction with both internal / external leaders and others to coordinator a variety of complex meetings and events.
  • Scheduling various weekly meetings; planning for and assisting with scribing meeting notes. Sending out summaries of next steps within the minutes.
  • Manage multiple projects with various deadlines that require excellent prioritization skills; ensure that deadlines are met.
  • Prepare written responses to routine enquiries
 
Internal / External Meetings:
  • Assistance with event logistical planning and coordination
  • Follow up correspondences after external meetings (i.e. thank you notes, meeting notes, etc.)
  • Attends and take notes during internal / external meetings, provided to executive team within 48 business hours
 
Communications / Support Needs:
  • Ensuring smooth coordination and communication between the management and employees who may be working remotely
  • Assistance with communications, marketing materials and other information for internal and external audiences related to program activities and fundraising (i.e. calling and setting up connections)
  • As needed administrative support for other ECDI employees (scanning documents, mailings, printing documents)
  • Interact with many different people inside and outside the company on phone, conference calls and email to gather data and address requests and questions. 
  • Prepare and modify documents including correspondence, legal documents, reports, drafts, memos and emails
  • Maintain confidential information and communication
  • Collects reviews and analyzes complex and / or confidential information and creates reports, charts, budgets, and other presentation materials.
  • Summarize, prioritize, and research information into a concise and usable format for review
  • Performs other related activities as required
  • Maintains and updates computer files.
  • Project a professional image; is friendly, pleasant, and courteous when dealing with internal and external clients.
  • Help with various life management tasks as needed
 
Board Meetings:
  • Quarterly Board Meeting management including: maintaining board documentation, preparing agendas, preparing and distributing Board Meeting materials, and taking minutes
 
Other:
  • Maintain a thorough working knowledge of and adheres to all ECDI policies and procedures
  • Performs other related activities, as required, to assure department and organizational success
 
Minimum Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required.
 
Knowledge, Skills, & Abilities:
  • Comprehensive knowledge of standard office practices, procedures, equipment, and techniques.
  • Attention to detail and a tolerance for working on multiple projects simultaneously.
  • Demonstrated commitment to completion of projects on a timely basis.
  • Excellent verbal, written and interpersonal skills.
  • Ability to be flexible, take initiative, multi-task & work well under pressure.
  • High level of proficiency in the use of Microsoft Office programs, especially MS Word, MS Excel and MS PowerPoint. 
  • Ability to maintain confidentiality.
  • Has a broad knowledge and understanding of how a company operates.
Education and/or Experience:
  • At least Five (5) years of progressively responsible administrative/office management experience.
  • Associate degree (or equivalent) in Business, Finance, or a related field preferred
  • Experience working in a fast-paced environment required
  • Experience working in a service-oriented role required
  • Experience using meeting technology including audio visual equipment, industry software and web and video conferencing.
Special Requirements:
  • After hours and travel required to support executive leadership.

  • Must have access to transportation in order to travel to and from the office and occasionally to other ECDI locations.
  • Typically, the employee must be able to remain in a stationary position 50% or more of the time. The person in this position will occasionally move about inside the office to access file cabinets, office machinery, etc., and operate a computer and other office productivity machinery such as a copy machine and computer printer.
  • Positions self to move items up to 15 pounds, such as printer paper boxes across the office as needed.
  • Must avoid risks found in the typical office setting, which is adequately lighted, heated, and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
