Summary
Under the direction of the Executive Director, the Receptionist is the first point of contact for most visitors and guests for our community and is instrumental in establishing and promoting a culture of hospitality for both internal and external customers. This position is also responsible for assisting with the administrative support functions for multiple departments. This position works Monday through Friday, 8:00 a.m. to 5:00 p.m.
Essential Functions
- Answers telephone and directs calls in accordance with established process.
- Greets residents, families, and visitors and provides general information and assistance. • Directs and/or escorts deliveries to proper areas.
- Responds to inquiries and releases information in accordance with established policies and
- procedures.
- Processes, sorts, and may deliver community mail.
- Ensures compliance with maintenance of visitor log.
- Prepares letters, reports, correspondence, and mailings.
- Maintains resident rosters and information related to requests from visitors, calls, etc. • Prepares copies, move-in packets, marketing materials, etc., as requested.
- Assists with the accurate maintenance of various files in accordance with established procedures.
- May process and support the AP/AR functions in the community.
- Performs other duties as assigned.
Skills and Experience
- Must exhibit and promote a high level of customer service, hospitality, friendliness towards residents, visitors, employees and represent the core values and mission statement.
- Ability to multi-task, balance team and individual responsibilities, and respond promptly to resident and visitor needs.
- Demonstrated knowledge and operation of computer systems and accounting in using Microsoft Office products (Word, Excel, Outlook, PowerPoint) along with the ability to use organization-specific software is required. Candidate must also be able to read and write English, comprehend written and oral instructions, and complete written documentation.
- The person must demonstrate self-motivation and initiative, the ability to work independently and solid problem-solving skills.
- Must demonstrate a high attention to detail, the ability to handle multiple priorities, as well as exceptional organizational skills. This position will require to support more than one person, so the ability to adapt and be flexible to various work styles is critical to the success of this position.
Required Education and Experience
- High School diploma or equivalent.
- Proven customer service skills with the consistent demonstration of hospitality, responsiveness and professional interpersonal and communication skills. Must present a professional appearance as the first impression of the community.
