What are the responsibilities and job description for the Office Admin/Manager position at Elanden Consulting?
Responsibilities:
- Greets tenants, visitors and contractors with a friendly and pleasant demeanor.
- Meet with the maintenance team daily
- Meet with tenants in the building
- Approve payroll
- Suggest and find vendors and contractors for work in and around the building
- Approve Insurance and verify COI’s are in place
- Send in check request forms and expense reports
- Verify leases are in place
- Work with operations on work order numbers and projects
- Reply to emails from tenants and customers about daily inquires
- Work with Mason Occupancy team on monthly reports or inquires that come from corporate
- Walk the property , send pictures on any issues
- Verify security and housekeeping are current and working properly
- Responsible for answering the phones and diverting calls to the appropriate departments.
- Responsible for collecting and inputting tenant sales into the company database (Excel spreadsheet).
- Works collaboratively with the GM to post job openings and schedules job interviews for department managers.
- Responsible for managing office supplies and placing orders.
- Assists the General Manager with generating schedules for various departments
- Works collaboratively with the General Manager to log and process invoices.
- Responsible for logging tenant rent, utility check and ancillary checks.
- Responsible for mailing checks, agreements and other documents to corporate and/or the lock box.
- Assists other departments as needed.
- Performs other duties as assigned.
Requirements:
- High school diploma or equivalent required. Associates degree preferred but not required.
- College degree preferred but not required.
- Must be proficient in Microsoft Office applications (Word, Excel, Outlook) and be comfortable with basic computer functions.
- Must be comfortable using technology to communicate with clients and co-workers.
- Must have excellent communication skills (phone etiquette, written communication).
- Must have excellent organizational skills (ability to prioritize tasks).
- Must have excellent time management skills (ability to work well under pressure).
- Must be able to work independently with minimal supervision and have a positive attitude towards customers or co-workers.
- Must be able to work in a fast-paced environment with multiple priorities and deadlines while maintaining accuracy and productivity standards.
Job Type: Full-time
Pay: $35,000.00 - $38,000.00 per year
