Position Title Administrative Specialist to the Director of Schools & BOE Secretary
Location: Elizabethton City Schools Central Office
Qualifications: Not less than a high school education. Vocational training as a clerical assistant with a minimum of 5-years' experience (is preferred). Must have excellent typing/keyboarding skills, have skills using Microsoft Office, and proficiency in using computer skills to navigate programs used by the school system. Use of office machines, copiers, and an overall understanding of office management using good written and oral communication skills with proper use of grammar and spelling.
Essential Duties & Responsibilities:
- Coordinate and maintain correspondence and administrative files for the superintendent of schools and/or the board of education.
- Maintain the superintendent's appointment calendar and schedule of activities.
- Complete travel/conference arrangements for the superintendent and members of the board of education.
- Compile, disseminate, and me local, state, and federal forms and/or reports. 5. Establish and maintain appropriate personnel records.
- Maintain update file on current professionals' licensure and assist personnel with licensure renewal process as requested.
- Maintain and file school calendar and revisions.
- Coordinate inventory/bulk ordering of central office administrative supplies while observing appropriate purchasing practices.
- Maintain School Board Policy Manual and revisions. Disseminate new/revised policies according to dissemination schedule. Serve as liaison with Tennessee School Boards Assn. for policy review/updates/revisions.
- Maintain school system files on contracts, deeds, titles, and other permanent system records.
- Attend meetings and transcribe minutes of Administrative Council meetings.
- Maintain a working knowledge of the requirements of school operations, (Minimum Rules and Regulations/TCA) and the School Board Policy Manual and be able to interpret same upon request.
- This position will have other job duties that have yet to be determined.
- The Secretary to the Board of Education will:
- Attend all Board meetings and/or workshops as requested.
- Compile information, prepare and disseminate agenda/packets for all Board meetings.
- Transcribe taped minutes of each meeting and maintain official minutes record.
- Maintain accurate file of board members and their terms of office, reporting changes to Tennessee School Boards Assn., and the TN Leadership Academy.
- Maintain accurate file of school board members' required training and attendance.
- Complete conference/travel arrangements for Board members as requested.
- Will fulfill other duties as assigned.
Capacity and Ability Requirements:
This job may require lifting of objects that exceed 25 lbs. with frequent lifting and/or carrying of objects weighing up to 10 lbs. Other physical demands that may be required are as follows: pushing and/or pulling; climbing; stooping and/or kneeling; reaching; talking; hearing; seeing.
