Job Title: Human Resources Administrative Assistant
Provide administrative support to the Human Resource Department. Duties include general clerical, receptionist, and office administration responsibilities. Project a professional company image through in-person and phone interaction.
This job requires the ability and desire to work in a fast-paced multi tasked environment with a focus towards administration, compliance, analysis, and customer service.
Essential Duties / Responsibilities:
Include the following. Other duties may be assigned.
- Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, filing and scheduling appointments.
- Sign for and distribute UPS/Fed Ex/Airborne packages. Distribute incoming mail and prepare outgoing mail including bulk mail.
- Responsible for check deposits and coding all checks.
- Prepare expense report for the Contract Department
- Obtain paperwork from the field and distribute to appropriate departments for processing, including work tickets, test papers, expense receipts, payroll information, packing lists, and signed off punch lists.
- Responsible for all reports, including daily GPS log.
- Answer phone line, respond to each caller, and/or distribute accordingly.
- Type and log all change order requests, re-budgets, and proposal letters for Project Managers. Submit to Corporate as needed.
- Track all change orders as necessary.
- Print prior months WIP reports, distribute to PM’s and submit new WIPs to Controller
- Submit WIP to Controller.
- Enter POJ dates, equipment requests, and repairs into FMS.
- Type warranties and distribute to appropriate personnel.
- Track, approve, and coordinate with Corporate for all Fleet repairs, accidents, changes, etc. and work with Corporate for registration and insurance cards.
- Complete Advancement Fund timesheets weekly and submit to Corporate, including tracking money and hours remaining on Target fund projects.
- Create and log Branch Manager proposals.
- Create and maintain all new job folders for contract jobs.
- Print and distribute billing sheets to Project Managers to mark up and then submit them to Corporate and file.
- Responsible for all filing for contract jobs.
- Reconcile checking accounts and petty cash and submit information to Corporate monthly.
- Organize, distribute, and record Operation Meetings and Design Meetings. Submit meeting reports to Corporate every Friday.
- Assist Project Managers with equipment for contract jobs.
- Request repairs for contract job equipment as needed.
- Maintain inventory records and submit to Corporate.
- Print all weekly job costs and distribute to Project Managers for weekly meetings.
- Enter all changes on the operations reports for contract and service jobs prior to weekly meetings.
- Any additional items requested by the Branch Manager
Qualifications:

Education / Work Experience:
- High School Diploma or GED is required.
- 5 years of administrative experience is required.
- Construction industry experience is a plus.
Computer Skills:
- Computer Skills: Significant experience with Microsoft Office applications (e.g., Word, Excel, PowerPoint).
