Emerald Therapy Center, LLC is a multi-disciplinary behavioral health organization with locations in Paducah, Murray, and Mayfield, Kentucky. Our mission is to provide counseling, psychiatric medication management, and addiction treatment to clients so they can function at their highest level.
We opened our first office in Paducah, KY in the fall of 2014. Since then, Emerald Therapy Center, LLC. has seen tremendous growth, and the need for more services and programs was quickly recognized. The owners have continued to diligently work towards expanding services and making Emerald the most certified and credentialed counseling center in Western Kentucky. We can assess, diagnose, and treat adults, teens, and children. Various treatment options from individual, group, and family therapy are offered. Sessions may be conducted at our main office location, various facilities that we partner with, or even in the client’s own home.

POSITION SUMMARY
This position is responsible for managing the various phases of the patient encounter: timely and accurate patient registration, appointment scheduling, check-in, check-out and collection of payments as well as general medical receptionist responsibilities. Serves as liaison between patient and medical support staff.
PRINCIPAL DUTIES

- greets patients, visitors; answers phones;
- Pulls medical records on returning patients; updates according to medical record protocol; assembles new patient medical records according to protocol;
- Assures that all necessary information on patient medical records is complete and signed;
- Collects all patient information upon registration; records all charges, including inpatient charges, and payments accurately;
- Balances cash drawer at end of day, completes any end of day reports according to protocol;
- Cross checks patient medical records with fee slips to insure accuracy and that all encounters have been captured;
- Obtains current insurance information on patients whose insurance is to be filed;
- Makes bank deposit, if required;
- Makes referral appointments for patients if required;
- Collects hospital and insurance payor billing information, if required;
- Keep census log for hospital and patients, if required;
- Record transcription notes and handle correspondence, if required;
- Maintains clean waiting area;
- Collects payments for services rendered including copayments; records payments;
- Schedules appointments and return appointments; makes call backs as assigned;
- Recognizes potential credit problems; collects any past due accounts at time of appointment;
- Performs general clerical duties as assigned;
- Screens visitors and patients and responds to routine requests for information;
- Communicates with clinical personnel to keep patients informed of scheduling changes or emergencies;
- Operates multi-line phone system;
- Monitors inventory of front office supplies; initiates requisition when necessary;
- Performs other duties as assigned.
JOB REQUIREMENTS – MANDATORY
Education
- High school diploma or its equivalent
Skills
- Excellent communication and organizational skills
- Typing ability and some PC experience
- Ability to work under pressure
- Ability and willingness to collect monies from patients
- Basic knowledge of ICD-10 and CPT-5
Physical Demands
- Ability to sit or stand for prolonged periods of time
- Ability to communicate via telephone, voicemail, e-mail and paper documents
- Ability to operate an automobile for the purpose of occasional business related travel
- Ability to bend, stoop and lift up to 25 pounds
JOB REQUIREMENTS – NON-MANDATORY
Experience
- Experience with computerized scheduling and billing system
- At least one year experience as a medical receptionist in medical office, hospital or other health-related facility
- Experience with multi-line phone system or switchboard
Skills
- ICD-9 and CPT-4 coding proficiency
- Basic knowledge of medical terminology
REPORTING RELATIONSHIP
The person in this position works under the general direction of the Office Manager. The Office Manager is responsible for monitoring workload activity and reassigning work as necessary, and assessing the quality of work. This position reports to the Office Manager for all administrative issues.
