The Scheduler works under supervision of the Director of Resource Utilization and Planning as the primary point of contact for day-to-day scheduling for the EMSA Operations team including field Paramedics, Emergency Medical Technicians, Logistics, Fleet, and System Status Controllers. The Scheduler strives to ensure all shifts are covered, paid time off requests are entered, and shift changes are maintained to ensure the Emergency Response system meets daily organizational requirements and goals. This position must maintain a high-level of confidentiality and professionalism, be highly efficient at planning, and managing daily administrative tasks with prompt and thorough follow through with attention to detail. The Scheduler demonstrates exceptional, team centered customer service, and uses excellent time management and organizational skills to perform scheduling requirements for the organization.
Major Duties and Responsibilities:
Utilize scheduling software to fill empty shifts and maintain daily schedules, approve shift bids for overtime, part-time, and special events, assign permanent vacancies and the bid process, maintain current resource assignments, and shift requirements due to leave and injury status.
Utilize payroll system to assist with biweekly payroll requirements for payment processing.
Collaborate with departmental leaders on schedule planning and shift bids.
Exercise discretion and judgement when dealing with sensitive personal matters.
Approve and assign PTO requests or PTO payment in accordance with company policy.
Promptly and courteously communicate with manager regarding department scheduling needs and/or issues.
Promptly and courteously communicate with staff regarding any scheduling needs such as shift openings or opportunities.
Prepare weekly staffing charts for department distribution.
Compose reports or presentations as requested.
Perform other duties as assigned.
Strong technical skills with computers and software, including personal computer applications, such as word processing, spreadsheets, and databases.

Education and/or Experience:
High school diploma or equivalent.
Minimum two years’ experience in administrative support or customer service role.
Payroll experience preferred.
Physical Demands: This position requires a frequent amount of time at a stationary desk sitting for up to 8 hours daily with frequent repeating motions that may include wrists, hands, and fingers. Hearing and talking to interpret job functions are frequently required and frequent visual ability to judge distance and space and clarity up to 20 ft. There is minimal hand tool operation and minimal ascending or descending ladders, ramps, or stairs. Occasionally may need to lift pull or pull objects up to 20 lbs. in all directions with a maximum lifting of 20 lbs. There is occasional walking and standing but minimal kneeling, crouching, bending, twisting.
Working Conditions: The position works in a temperature-controlled environment with occasional exposure to extreme temperatures to include humidity. Sometimes may be exposed to fumes, grease, or oil and may experience minimal poor ventilation or air circulation. The noise level is frequently quiet with minimal exposure to moving mechanical parts/machines.
Mental/Emotional: This position is required to frequently meet deadlines, work with changing priorities, and assess the accuracy and completeness of work on a regular basis. Frequently use logic to analyze and problem solve difficult situations and communicate to express or exchange ideas using proper English grammar and spelling. Occasionally utilize complex math and reasoning skills for planning work, analysis, and budgets. This position does not supervise other personnel.
