FLSA Status: Non-Exempt Reports to: Billing Supervisor
Position Summary:
The Office Assistant will receive, organize, and process the clinic’s incoming and outgoing correspondence as well as its Occupational Health visits with accuracy and timeliness amidst substantial activity. The Office Assistant will additionally provide reliable back up for billing and reception staff.
Essential Functions of Position:
- Sorts and distributes incoming mail for all clinics as well as the third-party billing company; stamps outgoing mail; and delivers daily deposits to the bank
- Receives and fulfills requests for medical records in a timely manner, seeking notarization of documentation when requested
- Processes Employer Paid Service (EPS) visits. This involves:
- Reviewing medical documentation for completion
- Coding and billing the visit
- Sending results and paperwork to client companies
- Organizing and assisting with monthly invoices
- Batching payments received for services
- Schedules appointments for EPS visits with inquiring client companies and patients
- Obtains workers compensation information from clients and/or carriers, and reports medical claims to the Workers Compensation Board
- Completes No Fault applications (NF-3) received from carriers for NF claims
- Acts as physical backup for reception during staff shortages wherever needed, including nights and weekends
- Answers and screens phone calls for the clinic
- Maintains confidentiality of patient information according to HIPAA guidelines and office policy
- All other duties as assigned.

- Keyboarding skills with proficiency using computers, the Microsoft Office Suite, etc.
Educational Requirements:
High school diploma, with concentration in business or an equivalent educational experience.
Experience:
Minimum of one (1) year clerical experience, preferably in a health care setting.
Working Conditions:
Normal for a healthcare office environment. Flexible work hours may include evenings and/or weekends. Because Emergency One is a multi-site employer, staff may be assigned to worksites due to patient need, and travel between worksites is required.
Physical Requirements
- May require prolonged periods of sitting as desk and working on computer.
- Must be able to lift 25 pounds at a time.
