INTRODUCTION
The Travel Coordinator will coordinate, book, and disseminate company travel to include commercial air transportation, ground transportation, and lodging.
DUTIES AND RESPONSIBILITIES
- Assure all company travel is booked and executed in an efficient and cost-effective manner taking into account rest and duty requirements as needed to maintain legality for crews. This is done utilizing advanced travel purchases, car rental discounts, and hotel contracts to minimize costs.
- Oversee service fee charges for vendor provided services such as Altour, MyIDTravel, and Concur. Assist Accounting with questions on any travel assignments and provide back up data for assigned travel as need to reconcile expense reports or audits.
- Assist with the implementation of Company Travel Benefits by maintaining MyIDTravel database, and other interline companies as needed.
- Provide travel information via articles for company newsletter, and via emails on other travel benefits through interline companies such as Perx and ID90.
- Brief Company travel rules and process’ and provide information on Travel Benefits as part of the Company Orientation for newly hired employees.
- Maintain proficiency with Concur and train others on booking procedures as authorized by Dispatch Manager to provide flexibility for management and crew travel.
- Maintain hotel lodging requirements, negotiating rate agreements to reduce costs and monitor condition of properties to assure safety, cleanliness, and appropriate use.
- Monitor company flight operations vehicles for usage to reduce costs if possible. Negotiate car rental agreements to reduce costs and facilitate ease of rental process using direct bill or rental company charge cards.
- Maintain our relationship with the Pass Bureau Association, ZED Miba, and MyIDTravel, to foster a better relationship for reduced fare travel. Attend the Pass Bureau Conference, ZED workshop and General Meeting, and MyIDTravel workshop to help foster these relationships.
- Supervise Travel Assistant. Serve as positive role model for ethical behavior and promote an awareness and understanding of positive ethical and moral principles that is consistent with these principles; promote and support the mission of Empire Airlines.
- Other related duties as assigned.
Requirements
EDUCATION AND EXPERIENCE
- High school or equivalent
- Two years travel agency or airline Pass bureau/Reservation experience preferred.
- Must have excellent communications skills, both oral and written.
- Must have valid driver’s license with insurable record through Empire’s policy.
WORKING CONDITIONS
- Work is performed primarily indoors, travel required.
- Requires standing, walking, sitting, and bending for extended periods of time.
- Requires manual dexterity, speaking, seeing, and hearing to conduct business.
- May be required to lift up to 20 pounds and work irregular hours.
PAY & BENEFITS
- Starting pay for this position is $45,000 - $51,000 annually, depending on experience.
- This full-time position includes Medical, Dental, Vision, 401k, Travel, and other benefits.
