About the role     
This role is a temporary role with the possibility of going full-time. They will be responsible for greeting guests at reception and organizing and coordinating office operations and procedures to ensure office effectiveness and efficiency. 
 
What you will do     
  • Support Sr. Executive Business Partner to the CEO
  • Greet and sign-in guests
  • Receive incoming mail and packages
  • Manage various administrative tasks, including submitting expenses, preparing meeting materials, organizing office supplies, and tidying public spaces as needed
  • Coordinate communication between Executives and VPs
  • Create and edit PowerPoint presentations, as requested
  • Orchestrate meeting agenda and track action items
  • Assist with off-site meetings; including site selection, proposal and contract negotiations, travel arrangements, presentation preparation, catering, and other related logistics
  • Maintain high level contact database (Access)
  • Organize complex domestic and international travel itineraries, including passport renewal assistance, obtaining appropriate country visas for travelers, etc.
  • Prepare competitive benchmarking and analysis

Who you are and what you bring     

  • 2 years of Front Desk/Reception, Administrative Assistant, or Coordinator experience supporting VP level
  • AA/BA degree in business preferred
  • Experience supporting a sales team preferred
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations.  Position continually requires demonstrated poise, tact and diplomacy
  • Thrive in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
  • Discretion and judgment in providing communication with individuals at all levels of an organization
  • Ability to maintain a flexible schedule and to work overtime
  • Strong knowledge/proficiency of a variety of computer software applications in word processing, spreadsheets, database, and presentation software (MSWord, Excel, PowerPoint) 
The hourly rate for this position is $29 to $39 an hour. This hourly rate may be modified in the future.
