Job Description:

FACILITIES

Responsible for providing building/equipment maintenance clerk service, which includes, but is not limited to:

  • Loading dock cleanliness, safety, and security.
    • Keep loading dock neat and free of safety hazards daily.
    • Maintain dock door integrity when open for deliveries, food service and other contractors.
  • Collection, handling, and security of Confidential and Restricted trash and recycle trash.
    • Collect Confidential and Restricted trash from locked containers/Buyer’s employees daily or as required and shred under supervision of one Leidos employee.
    • Collect recycle trash from designated locations, as required.
    • Bag, tape, and label appropriately, holding for pickup by contract vendor.
    • Initiate log entries and ensure sign-off of collection receipt by the contract vendor.
    • Ensure that collected confidential material is properly secured overnight, if necessary
  • Internal movement of parcels.
  • Receiving and internal delivery of parcels and boxes such as copier paper and stationery store supplies.
    • Sign for and verify the number of boxes received.
    • Deliver and neatly stack copier paper daily or as required/requested.
    • Keep copier paper storage area neat and free of safety hazards.
    • Deliver and neatly stack stationery store supplies to the CASA; obtain signature from CASA clerk verifying boxes received.
  • Shipping, receiving and internal delivery of mail and computer printouts.
    • Deliver UPS/Airborne, etc., packages to Buyer’s employees.
    • Pick up boxes as requested
    • Assist with furniture, paper, and equipment deliveries. If required deliver printouts between WJHTC and English Creek Building.
    • Exchange mail, packages, and boxes.
    • Sign various receipts upon accepting deliveries.
    • Assist with banding outgoing shipments in designated buildings.
  • Each day, every copier/printer in the building should be checked for proper operation, print quality, paper supply, ribbon, and toner.
  • Responsible for primary coverage for video conferences and setup of Net Meetings which will include delivery and set up of video and net meeting equipment in designated buildings/conference rooms.
  • Stocking of boxes. Ensure that an adequate supply of boxes are on hand for Records Retention, recycle material and office moves:
    • 40 boxes or under on hand: order from Shipping and Receiving, allowing two to three days for delivery.
    • Over 40 boxes on hand: request that the technical coordinator order from the warehouse via a move request.
  • Furniture rearrangement in conference rooms and offices in designated buildings, as required.
  • Move Computer equipment (PC’s, Monitors, and Printers) between offices and buildings as required.
  • Handle other facility problems as required.
  • Possesses basic knowledge of computers.
  • Support infrastructure efforts.
    • Workstation moves/deployment.
    • Basic workstation setup.

CASA

Responsibilities will include, but not be limited to:

  • CASA Services
    • Keep current inventory of supplies and forms and ensure timely distribution of supplies and forms when received. Verify packing slips for supplies and forms received, noting any discrepancies. With Leidos approval, order supplies and forms as needed, per CASA procedures, using data entry equipment.
    • When necessary travel to local retail stores to purchase supplies or deliver supplies to other buildings.
    • Maintain a supply of Shipping Instruction forms and log and distribute per CASA procedures.
    • Provide secretaries with reproduction, distribution and foil-making support.
    • Provide secretaries and/or Buyer’s employees with light typing assistance, to include labels, envelopes and brief forms, to be prepared on the PC.
    • Ensure that all Proprietary material in the CASA/Mail/Reproduction room and printer rooms is secured according to Leidos' Clean Desk Policy and that cabinets are locked each night.
    • Answer CASA business-related inquiries.

MAIL

Responsible for sorting and distributing mail; preparing and delivering mail; verifying incomplete/misaddressed mail; handling special distributions; processing internal and external outgoing mail; and handling all equipment properly. Courier services will include both internal and external services and a vehicle for the transporting of tasks between Leidos' various designated points among the site buildings and Leidos' Vending Department according to an established schedule. Responsible for providing mail services clerical support, which includes, but is not limited to:

  • All mail shall be sorted and bundled by building and floor according to the posted delivery schedule and in keeping with procedures.
  • Deliver and pickup mail between post office; Leidos buildings and the WJHTC.
  • All mail with incomplete or incorrect addresses must be looked up per “Look-Up Procedures”. All mail for addresses with unidentified locations must be rubber banded, labeled as such, and given to the Buyer’s technical coordinator at the end of the day.
  • Incoming mail is sorted and delivered twice per day at the mail room. Extra runs may be required from time to time to distribute special assignments.
  • All U.S. Postal Service mail must be processed daily per site schedule. Foreign mail not adequately prepared should be given to the Leidos' technical coordinator.
  • All express, certified and registered mail will be handled
  • Adhere to Leidos' Clean Desk Policy, ensuring that all Confidential material and workstation is secured when unattended and at the close of business.
  • Transport unclassified and Leidos Confidential material for typesetting, illustrating and/or as directed by daily delivery schedule reproduction.

REPRODUCTION

Responsible for providing clerical services, which includes, but is not limited to the following, based on business needs. Level of support encompasses simple clerical duties.

  • Reproduction
    • Read job orders to determine requirements
    • Bind documents
    • Collate documents
  • Demonstrate knowledge of all office and copier equipment at assigned workstation.
  • Create and maintain files.
  • Assist with inventory tracking and verifying comparing data.
  • Utilize E-mail for sending notes.
  • Provide telephone coverage as requested using proper telephone etiquette.
  • Maintain a follow-up system to track action items required.
  • Develop a general knowledge of the area to which assigned, which includes, but is not limited to the following:
    • Understand responsibilities and organizational structure.
    • Communicate in a professional manner to maintain good working relationships using tact, diplomacy and sensitivity.
  • Adhere to established Leidos Proprietary Information guidelines, data security (IAS) procedures and Public Trust regulations as required.
    • Adhere to current Leidos PC Standards and Procedures and maintain audit-ready posture.
    • Adhere to Leidos' Clean Desk Policy, ensuring that all Leidos Proprietary material and workstation is secured when unattended and at the close of business.
  • Be knowledgeable of emergency evacuation routes and safety regulations
  • Keep current and accurate desk procedures.
  • Backup coverage is to be provided by trained personnel.

PROGRAM PRODUCT CONTROL BACKUP

  • Possess basic knowledge of Linux and Windows computer operating systems.
  • Ability to burn CD’s/DVD’s.
  • Copy files to Secure USB devices.
  • Ability to follow written processes while fulfilling their job responsibilities.
  • Ability to communicate well with co-workers while fulfilling their job responsibilities.

MISCELLANEOUS DUTIES

  • Setup and take photos as required utilizing Leidos' digital camera, print photos as required.
  • Update the Leidos Awards Board and Employee picture board as required.
  • Administrative Support Clerk’s should be cross-trained to backup for primary Help Desk functions.
  • Perform other miscellaneous duties as required.
