Position Summary: The Senior Event Manager is responsible for the leadership and ownership of the full scale management of small to large scale events, including user conferences, sales kickoffs, roadshows, incentives, and other corporate events.

 

This position possesses an expert level understanding of event management, including client management, venue management, production coordination, hotel room blocks, vendor management, and contract negotiation.

 

The Senior Event Manager takes the lead from event transition through execution, working closely with all Departments as a subject matter expert, guide and mentor.

1.     Assume total responsibility and ownership in leading the planning and execution of all assigned events, at any scale.

2.     Oversee the planning and execution of each team member on large events.

3.     Daily interface with client on assigned events.

4.     Conceptualize and lead strategic events, ensuring every aspect of the event is aligned with the client’s overall event objective.

5.     Serve as team lead and bring leadership and guidance to team members across all Departments, including Registration, Platform, Sponsorship, IS, Air, and Finance.

6.     Proactively bring new ideas and improved processes to team to streamline internal team operations and enhance client experience

7.     Identify Event Manager and Specialist hard-skill training needs and communicate needs to Director of Event Operations.

8.     Mentor and guide Event Managers and Specialists in the hard and soft skills required for the successful execution of events and professional development.

9.     Manage event budget, invoicing, schedules of payments and cost savings report.

10. Oversee overall program agenda, ensuring communication across all internal and external teams.

11. Oversee and manage event project plan/timeline.

12. Lead client and internal meetings, including regular status meetings, pre-program walkthroughs, onsite meetings, and post program debriefs.

13. Drive client and internal team deliverables to meet timeline milestones.

14. Manage all aspects of venue coordination, including meeting space allocation, meeting room set-up, diagrams, food & beverage, electrical, internet.

15. Manage DMC and outside vendors, including Audio Visual, Production, Entertainment, IT/Internet, Photographer, Printer, Security, Shipping, Translation, Transportation.

16. Coordinate content, graphic development and production of all program collateral (i.e. agenda, conference guide, program of events, etc.) and signage.

17. Organize pre-trip mailings and attendee gift and giveaway selections.

18. Develop budgets, coordinate itineraries, and lead site inspections.

19. Confirm client VIPs, create VIP grid & photo cheat-sheet, and coordinate room amenities & transportation.

20. Review and contract onsite Travel Staff with Account Owner.

21. Coordinate on-site technology order with IS Department.

22. Develop final Program Specification Document (PSD).

23. Coordinate shipping procedures and arrangements pre and post program.

24. Transition program information and walk through all program specifications with Travel Staff onsite.

25. Oversee on-site program operations.

26. Manage final billing and presentation of final bill to client.

 

Required Travel: This position requires travel up to 50%

Education and Experience:

 

Required:

  1. Bachelor’s degree.
  2. Minimum 5 years of Corporate event management.
  3. Focus and experience in an agency or corporate environment a plus.
  4. Expert level understanding of event management scope and ability to lead planning process.
  5. Minimum of 3-4 years of direct client management.
  6. Exceptional negotiation and budget management skills.
  7. Proven track record of effectively managing multi-million dollar budgets.
