As an Administrative Services Manager you will oversee communication between Admin Team and Operational Teams to ensure successful client outcomes.
Typical duties can include, but are not limited to:
- Oversees all RFQs have a properly constructed project in R2 and all information is uploaded and organized to applicable platforms.
- Oversees execution of accurate payment schedule, security deposit, salesforce opportunities, COI requests and contracts between Sales Team, Admin Team and Client.
- Communicates with client on outstanding deposit requests, COI Requests and Contracts before tour leaves the warehouse.
- Overseas communication between Admin Team and Operation Teams to ensure warehouse pull, technician prep and departure from warehouse timeline is in place.
- Reviews equipment adds, determines whether it is billable or not with Sales and follows up with Admin Team on execution plan.
- Reviews all MertzCrew and Third-Party labor invoices in timely manner. Flags inaccurate invoices and clarifies with TRC and Sales Team before approval.
- Adjusts labor margin reports accordingly to advice Sales Team and Director on where labor margins are within each tour.
- Keeps track of outgoing invoices from accounting, follows up with clients regarding payments and clarifies questions clients have regarding invoices.
- Flags payments that are 2 weeks past due to Sales Team and Director level for next steps.
- Ensures Admin Team and Sales Team scrub all add orders to build post tour billing.
- Runs TripActions and MertzCrew reports to finalize labor margins for each tour.
- Works with Accounting to finalize last payments and closes out the project.
- Maintains and oversees constant positive relationships between Touring and all other departments within ETP.
- Continuously develops disciplined processes that work for all departments within ETP.
To be a successful Administrative Services Manager, you should have the following:
- High School Diploma or Equivalent.
- 5 years of administrative experience.
- 2 - 3 years of experience in the audio/visual industry, with specific knowledge of quote, billing and show services.
