Job Description
The Office Coordinator will support the overall office, as well as the Executive Administration team.
This position serves as a primary contact and information source for general management administration of the corporate office, with responsibilities including:
Responsible for office and kitchen supplies (ordering, organizing, inventory, special requests)
Responsible for meeting meal requests (ordering, delivery, set-up/clean-up)
Responsible for mail and shipping (distribution, postage, scheduling)
Communicate and coordinate with building management, building concierge, janitorial / service providers, and other building tenants
Coordinate logistics for external visitors and employees from other locations
Facilitate COVID policies, procedures, and supplies
Assist in onboarding new Portland-office employees
Administer and keep track of security badges for all new employees and visitors
Contribute to special events and projects
2-3 years of similar work experience in a professional office environment
Self-starter who identifies items to be addressed without being asked, wants to work as a collaborative team, and can proactively solve issues
A service-oriented mindset with the ability to prioritize and anticipate the needs of the office, and at times provide quick solutions
Demonstrated collegiality, team orientation, positive attitude, common sense, patience, sense of humor, determination, and ongoing desire to learn, grow and contribute are all desired
Must have proficient Microsoft Office skills, with experience in Microsoft Teams a plus
Experience in Concur a plus
