We are currently searching for an Operations Assistant to work at the Corporate office located in Memphis, TN.

Essential Duties and Responsibilities:

  • Perform daily administrative duties, including answering the phone and logging calls requiring follow-up.
  • Maintain the Envolve Responds database by entering vendor, resident, and other requests into the software and assigning to appropriate team member for follow-up.
  • Prepare and execute vendor agreements in coordination with Operations team members.
  • Prepare and distribute internal and external reporting packages on weekly and as needed basis.
  • Administrate and support Ensight software by assisting personnel with password resets, login issues, and basic property and personnel updates.
  • Maintain continuous professional communication both internally as well as with clients.
  • Greet visitors, guests and vendors and direct them to the appropriate staff member.
  • Assist Operations team with special tasks as requested.
  • Put postage on out-going mail on an hourly basis.
  • Maintain the mailroom and supplies.
  • Order office supplies on a weekly basis.
  • Receive and sort mail daily.
  • Maintain and audit market surveys/quarterly inspection database and deadlines.
  • Respond to Marketing te3am emails about follow-up calls daily.
  • Answer TTY Calls
  • Maintain the courier logs for outgoing packages and incoming packages daily.
  • Maintain the calendar/schedule for the Middle and Front Conference rooms daily.
  • Assist with bulk mail-outs to properties and vendors.
  • Perform other duties/special projects as assigned.

Education and Work Experience Requirements:

  • High school diploma or GED required.
  • 2 years of college in business or more preferred.
  • Must be proficient in MS Word, MS Excel, MS Powerpoint, MS Outlook, and MS Publisher.

Specific Job Knowledge, Skill, and Ability:

  • Strong organizational and proofreading skill.
  • Ability to prioritize multiple deadlines.
  • Must be able to manage confidential projects.
  • Excellent verbal and written communication skills are required.
  • Must have ability to work independently and as a member of the office team.
  • Must be able to interact with others in a professional manner and handle any situation in a professional manner.
