Job Summary
As an Office Tenant Coordinator, you’ll be the primary point of contact for the property community and act as the “face” of EQ Office! You will bring your best each day to support the team to achieve the following:
Responsible for the operations and maintaining the day-to-day relationships with our customers. Set the stage in interactions, positive impression, make people’s day. Provide administrative support to the property team to achieve operational excellence and to maximize value.
CUSTOMER SUCCESS
- First point of contact (either reception in-person or virtual phone/email) for tenants, visitors, vendors and guests
- Anticipate tenant needs before they arise using relationships you have fostered, unique tenant amenities and relevant information collected in CRM to enhance and personalize their experience.
- Coordinate/prepare/distribute and respond to day-to-day customer communication.
- Know and explain EQ policies and procedures and communicate, inform, and update tenants on building issues.
- Respond to incoming customer work order requests, manage status of open work orders, and follow-up with customers to ensure satisfaction. Become super user of EQ online work order platform/technology
- Escalate customer service-related issues to the appropriate property management staff as necessary.
- Input notes into EQuip or equivalent CRM system about customers.
BUILD COMMUNITY
- Interact with customers to foster ongoing relationships
- Identify and execute opportunities to connect tenants with each other.
- Know and recommend local restaurants, food delivery services, catering options, team outing venues, post office, shipping center, supply store, etc.
- Consistently celebrate tenants’ successes and milestones through gifts and notes.
- Brainstorm and plan ideas for property events that will bring people together. Provide feedback on programming types (based on member makeup) and evaluate events based on attendance, satisfaction, and impact on the appropriate event team.
ADMINISTRATIVE
- Responsible for managing the day-to-day administrative functions of the office.
- Prepare and distribute correspondence through the utilization and maintenance of onsite resources.
- Answers and screens incoming phone calls; providing assistance when possible and routing other calls to appropriate employees.
- Creates and maintains various filing systems in an accurate and organized manner.
- Sorts, organizes and distributes all mail and deliveries.
- Responsible for distribution of monthly and quarterly reports.
- Processing and coding invoices.
- Orders and maintains and adequate supply of departmental office supplies.
- Organizes team lunches and meetings.
PROPERTY MANAGEMENT AND OPERATIONS
- Ensure building-specific operational requirements are met for each event (elevators, HVAC, etc).
- Write and send broadcasts relating to building updates.
- Manage and inventory keycards and collect upon move-out
- Review location and how to use each piece of Emergency Equipment
- Performs other duties as assigned, including ad hoc projects.

Qualifications
- Previous customer service experience preferred.
- Some college or equivalent experience preferred.
- Proficiency with Microsoft Suite required.
Base Salary Range: $60,000 - $70,000. This represents the presently-anticipated low and high end of the Company’s base salary range for this position. Actual base salary range may vary based on various factors, including but not limited to location and experience.
Total Direct Compensation: This job is also eligible for discretionary bonus on an annual basis.
