Job Description

Equinox is seeking an experienced Office Services and Experience Manager for our new NYC based corporate offices located at Hudson Yards and Park Ave. The position reports to the Senior Manager of Facilities and supports a variety of businesses throughout the organization.

This is a diverse role involving a broad set of functions and responsibilities; with a primary focus on ensuring an on-brand experience. The role will have TWO direct reports such as a Mail associate and an Office cleaning associate.

The ideal candidate will also have experience coordinating office moves. This role will involve spending time in both our Park Ave. & Hudson Yards office, five days a week: exact schedule TBD.

RESPONSIBILITIES:

Office Experience:

  • Partner with all departments for new hires.
  • Work closely with People Services, Security, and IT to onboard employees in a timely manner (includes identification and setup of workspaces, and coordination of new hire essentials (such as: ordering of business cards, creation of ID badges, etc.)
  • Partners with Recruiting and appropriate Executive Assistants to ensure an unparalleled experience for potential candidates and office visitors.
  • Partners with the People Services team with ensuring adherence of policies and procedures by all office employees.
  • Assists the Communications and Events team on the execution of employee events.
  • Provides all other duties or special projects as required/assigned.

Office Services:

  • Ensure the entire office, from the meeting rooms to the copy areas, is properly maintained. (i.e. all supplies are available, equipment is in working order, pantries are fully stocked.)
  • Works with appropriate partners to effectively maintain seating standards for office spaces both at Hudson Yards and Park Ave.
  • Oversee inventory and management of office supplies.
  • Identifies facilities issues and concerns and coordinates with Facilities Manager to address in a timely manner.
  • Maintains up-to-date seating charts.
  • Must master the use of Service Channel our internal work order system.
  • Oversees conference room booking system. 
  • Coordinates with IT and F&B for requested conference room setup.
  • Management of employee lockers including assignment to new employees.  Maintains accurate up-to-date log of all assigned lockers. 
  • Manage mailroom operations/FedEx shipper to ensure timely processing of all incoming and outgoing mail.
  • Ensures that Park Ave. mail is received in a timely manner.
  • Anticipates office needs and is proactive about addressing them.
  • Develop and maintain effective communication and working relationships with Dept heads, EAs, Facilities, Related & Vornado building management and vendors.
  • Manage Office Services budget and process approved invoices as required.
  • Lends support as required to our sub-tenants Industrious, HSS and Global Atlantic (all located in Hudson Yards.)

Qualifications

Experience

  • Bachelor’s Degree preferred.
  • Minimum 2-5 years' experience in all aspects of office services in a fast-paced multi-location environment.
  • Proficient in Windows Office Suite (Word, Excel, PowerPoint) & Photoshop
  • Event planning experience: for corporate and special events.

Pay Transparency: Min $70K - Max $80K
