We are looking for a reliable Office Administrator. The perfect candidate should possess a friendly and professional demeanor. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The tasks of the office administrator will include bookkeeping, accounting and HR support. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy. The office administrator ensures smooth running of our company’s offices and contributes in driving sustainable growth.
Responsibilities
- Interact professionally with customers and inside personnel, answering questions and responding
to phone and email inquiries.
- Process financial documents, contracts, expense reports and invoices. Monitor and track project data with spreadsheets to generate reports and for invoicing and payroll purposes. Review,
investigate and correct errors and inconsistencies in financial entries, documents and reports.
- Monitor daily banking transactions across multiple bank accounts.
- Maintain accounting records by entering accounts payable, accounts receivable, invoices and expense reimbursements.
- Supervise the business credit card account including (10) separate cardholder accounts.
- Communicate effectively with our insurance broker for general liability insurance, automotive insurance, and employee health, dental, and vision. Advise of any new enrollments or terminations.
- Managed human resources department in handling benefits paperwork, employee incident reports and data entry to maximize team productivity.
- Organize and maintain payroll information by entering data, deleting errors, calculating and collecting information.
- Supervise proper processing of garnishments, including child support and wage assignments.
- Enforce established payroll-related policies, procedures and regulations and adherence to company and governmental policies. Respond to employee inquiries regarding payroll and timekeeping.
- Provide employee onboarding services and support department members to increase productivity and performance.
- Process rehires, transfers, terminations, garnishments and withholdings.
- Maintain job postings across multiple platforms as needed to fill new roles. Perform initial resume screenings for new applicants.
- Generate, deliver and monitor customer invoices. Evaluate open accounts to look for past-due balances and pursue collection strategies. Kept accounts receivable tracking database current with relevant client information, collection and billing progress and program changes.
- Handle all invoices and purchase orders by properly logging into system. Carefully went over each invoice and requisition for payment.
Skills
- Proven experience as an office administrator, office assistant or relevant role.
- Outstanding communication and interpersonal abilities.
- Excellent organizational and leadership skills.
- Familiarity with office management procedures and basic accounting principles.
- Excellent knowledge of MS Office, Excel, Google Suites, Quickbooks, and/or Buildertrend is strongly preferred.
- Experience in project management and or the construction industry is a plus.
