The Opportunity: Embry-Riddle Aeronautical University is now hiring an Associate Director of Financial Aid Services in Daytona Beach, FL. The Associate Director assists the Executive Director with the overall coordination and supervision of a comprehensive and compliant Title IV financial aid program, predicated on student/family service success, interdepartmental collaboration, and staff development; supporting the objectives of Enrollment Management and the University at large. This position performs the day-to-day activities of a Professional Financial Aid Administrator. Responsibilities include: Student Experience Providing oversight and strategic direction to the financial aid counseling team. Responsible for building a strong integrated service approach that includes providing accurate and timely responses to inquiries regarding financial aid. Managing the delivery of critical information and service to a diverse group comprised of current and prospective undergraduate, graduate students and their families. Ensuring a consistent, professional, and high level of customer service across all service points (phone, email, virtual/Zoom/Teams) by counseling team. Serves as initial point of contact for complaint escalations Provide guidance to the counseling staff in determining when students should be referred to other support offices. Regularly use strong analytical and critical thinking skills to review work and proactively act on error resolution to improve the quality of service provided to students and their families. Support effective collaboration with cross-functional teams to ensure students and their families have a positive experience. Coordinate mass communication with prospective and current students. Positively represent the University at both on and off-campus events. Award Processing and Advising Collaborates with Executive Director as needed to ensure continued compliance with federal and state policies, to minimize exposure to risks. Provides guidance and oversight with the verification process, subsequent ISIRs, and SAR-C codes resolution. Responsible for the processing of professional judgement applications, dependency override requests and review of Satisfactory Academic Progress (SAP). Manage the processing and disbursing of federal and private loans in accordance with all applicable state and federal guidelines. Advise applicants and their families how best to utilize and leverage their funds to maximize resources, minimize educational debt, facilitate the student’s attendance, and support students’ overall retention at the university. Collaborate with campus partners to determine the eligibility of new students for special grants or scholarship. Notifies students of revision in award offers due to recalculation and reduction in credit load, verification process or change in Cost of Attendance. Counseling students in debt management. Explaining loan terminology, repayment responsibilities, and the consequences of defaulting on loans. Determining when students have reached the maximum levels of borrowing federal loans and counseling them accordingly. Exercise good judgement and discretion when working with confidential and sensitive information and situations. Reviewing, updating, and documenting written policies, procedures, and practices relating to financial aid delivery. Regularly evaluate financial aid processing method and make recommendations updates and modifications to reports that will increase efficiency. Administers ad hoc problem investigation and resolution. ERNIE Central, Bookstore and Call Center liaison. Address all Consortium agreements. Staff Development Adequately deploy resources and manage shifting priorities as needed to optimize efficiency and productivity. Ability to lead, inspire, monitor, and supervise employees to achieve goals that contribute to the mission of ERAU. Provide day-to-day mentoring, training, and support. Provide assistance and leadership on special projects and assists the Executive Director in other assignments as necessary. Perform quality control checks and develop individualized training for deficiencies found. Handle and delegate responsibilities with the counseling team to build the capacity of each team member. Maintain current job description for all direct reports and conduct annual evaluations. Articulating job expectations and responsibilities. Program Knowledge Maintains a superior level of expertise regarding university, federal and state aid programs as well as professional developments in the field of financial aid. Maintains a working knowledge of industry specific systems, the federal electronic processing systems and Campus Solutions. Attend necessary training events nationally, regionally or at the state level as required. Provides support that assist with internal and external Federal and state audits. Qualifications Required Qualifications: Bachelor’s degree in a related field. Minimum of 5-10 years of related work experience. Interpersonal skills necessary to deal effectively with staff, the public, various government entities and the university community. Excellent student-centered customer service skills. Demonstrated analytical abilities to handle complex administrative details with experience working in a fast-paced, multi-tasking environment. Comprehensive knowledge of federal and state regulations governing the student financial aid programs. Comprehensive understanding of financial aid processing and eligibility requirements. Experience with automated files management, tracking, and letter generating computer programs. Excellent communication skills, oral and written. Must be able to multi-task and be deadline oriented. Excellent organization skills. Demonstrated supervisory skills. Ability to motivate, train and manage staff. Working knowledge of Microsoft suite and federal systems (e.g. COD, CPS and NSLDS).
