Position Summary

The role of the Logistics Specialist-Ocean Export is to support, organize, and implement all overseas shipments to ensure adequate service levels of clients are met. This person will also provide redundancy by supporting the domestic logistics team to maintain order accuracy, on time delivery, and customer satisfaction on all other supply chain functions. They will work alongside the sales team and documentation team to problem-solve and maintain the highest level of customer service.

Essential Functions

· Take direction from Logistics Coordinator to assure all logistics tasks are being completed on time and correctly.

· Active coordination between financial, documentation and logistics departments to assure product release transpire as required/intended

· Active booking monitoring for prompt loading and drayage functions in avoidance of demurrage and per diem penalties.

· Continuous communication with both land and SSL carriers with focus on building relationships and solutions for future business.

· Scheduling between purchases, recovery, and product dispatch to/through the various supply chain process steps.

· Receives and edits export orders.

· Prepares all necessary documents such as commercial invoices, export declarations, certificate of origin, letters of credit.

· Prepares international export documents timely and accurately according to custom's and customer's requirements.

· Arranges shipments through network of international carriers.

· Reviews pertinent domestic and foreign trade regulations.

· Communicates with vendors, government agencies, customer.

· Coordinates with Customer Service Representatives to ensure customer satisfaction is met.

· Maintains SOP manual of international export requirements for each customer and updates as necessary.

· Maintains organized files monthly by customer for all international shipments

· Provides clerical support including: sorting of faxes and documents and distribution of those documents to team members

· Communicate effectively with outside vendors (including cold storages, warehouses, inspection houses, suppliers, and customers) to assure the tasks are completed correctly and in a timely manner.

· Communicate any discrepancies from the schedule with relevant parties (both internally and externally).

· Work alongside internal staff to make any necessary amendments to the schedule, while assuring all subsequent transactions are also amended.

· Understand and operate a WMS system.

· Work closely with the logistics & documentation team to assure all required documents are provided and correct for invoicing.

· Receive and approve relevant invoices for payment from AP.

· Update our Inbound and Outbound Load Sheet daily to assure accuracy and timeliness.

· Update order information within Impex (our internet-based software system).

· Ability to understand and manipulate Microsoft Excel worksheets to maintain inventory and delivery schedules.

· Update data within Excel while simultaneously saving documents electronically via Microsoft SharePoint / Central shared drive.

· Ability to focus in a fast-paced environment to assure all tasks are completed in a timely manner.

· Ability and willingness to work in a team setting, keeping in mind that team members may be remote to your location.

· Perform additional duties as assigned.

Knowledge, Skills, and Abilities:

  • Knowledge of shipping processes and best practices including the most efficient and cost-effective shipping methods.
  • Knowledge of regulations related to transportation including those related to freight classifications
  • Strong logistical, analytical, and problem-solving skills.

  • Ability to manage numerous competing demands in an extremely fast-paced environment.
  • Strong attention to detail, organizational skills, and the ability to problem solve.

Education and Experience:

· Associate degree in Logistics, Supply Chain Management, Business, or related field preferred; or one (1) or more years of Logistics/Supply Chain Management in ocean freight export; or equivalent combination of education and experience preferred.

Job Type: Full-time

Pay: $50,000.00 - $75,000.00 per year
