Job Summary: The Office Manager is responsible for maintaining operational functionality of the office as well as daily schedule for clients. They are also responsible for responsible for all tasks related to front-office management including, accounts payable/receivable, answer phones, administrative management and human resource functions.
Requirements & Minimum Qualifications
Education: High School GED or Diploma
Experience: A minimum of 3 to 5 years experience in administration or office management, preferrably in substance use disorder treatment or mental health treatment
Licenses/Certifications: None.
Knowledge Required: Proficiency in MS Office and other office management software.
Essential Job Duties
- Adheres to all company policies and procedures.
- Coordinates with clinical/executive leadership to meet needs.
- Maintains a professional atmosphere both on the telephone and in the waiting area
- Assists with projects from other departments, as necessary
- Maintains and orders office supplies for office
- Manage accounts payable/receivable
- Perform human resource functions, such as new hire onboarding and orientation
- Attends staff meetings.
- Creates and modifies various documents using Microsoft Works programs.
- Knows the whereabouts of staff on a continuous basis.
- Maintains a filing system for various company functions, including, but not limited to, copying, filing, organizing and set-up.
- Maintains confidentiality pertaining to patients and families.
- Maintains supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
- Maintains visitor sign-in/sign-out logs.
- Performs general clerical duties to include but not limited to: photocopying, faxing, mail distribution, EMR charting and filing.
- Provides information by answering questions and requests.
- Shares pertinent information with team as obtained from patients or families.
