Job Title: Contracts Manager
Location: Waltham MA (Hybrid)
Duration: 06 Months
Title Vendor Manager:
- Manage software renewal contracts in the Client Tier 3 & 4 estate. Ensure that renewals are processed within the month due and work with internal stakeholders and suppliers to renew the contract to avoid work stoppage or unauthorized use of the existing Software.
- Establish credibility with internal stakeholders and steer people to change and/or adhere to a certain strategic direction is essential. Knowledge of the software category is required and supply markets.
- In addition, have the experience to negotiate cost reduction opportunities in achieving the best cost possible for Client. Experience also with Service Now and Ariba systems is desired.
- Liaising with stakeholders to identify opportunities to reduce the total cost of ownership of products and services.
- Reviewing and Negotiating updated Agreements upon time of renewal, incorporating critical Client standards into Agreement, i.e., Security provisions,
- Work with our Security and Enterprise architecture teams to approve software.
- Work with additional Client teams regarding Divestitures, IT business partners, Finance and various business entities as directed.
- Acting as the interface between internal stakeholders, category owners and suppliers.
- Providing strategic input into category management frameworks and approaches.
- Establishing, leading, and developing the capability of cross functional category teams.
- Manage all metrics established for the team in monitoring self-performance.
- Interfacing with various systems used to manage requested for renewals.
Section 3 – Key Accountabilities:
- Process internal IT Commercial Requests (COR) generated by stakeholders both in US & UK for software renewals.
- Work with Internal stakeholders US/UK to access renewal requirements and assess any budget constraints.
- Solicit proposals from suppliers for software renewals.
- Negotiate best possible cost for requested term of contract, which may contain multiple years.
- Ensure new costs are in line with internal budgets.
- Ensure all software contracts and requests are in compliance with Security and Enterprise Architecture requirements.
- Route all proposal for final signature using the DocuSign process.
- Close properly all COR requests and ensure all relevant documentation is in our Ariba database.
- Work with various teams on Divestitures, novation of contracts to divested entities.
- Attend weekly and monthly meetings to review Renewals status with various teams.
- Ensure all metrics established for the Renewals team are accomplished.
- Work with various internal systems: Service Now, Ariba, Coupa that are used for processing all requests for software.
Section 4 – Knowledge, Experience and Technical Know How:
- 5-10 years’ business management experience; of which some must have been in an IT or purchasing role.
- The ability to craft long-term internal and external business relationships, manage change and provide strategic leadership is essential.
Section 5 – Qualifications:
- Essential (at appointment): Minimum: A recognised degree in business, finance, or engineering. A postgraduate business management qualification is preferred.
- Affiliations: Appropriate professional registration would be an advantage.
- Advanced: MBA or equivalent.
Section 7 – Main Interfaces:
- Internal: Procurement buyers, Category Leads, Business Stakeholders, Finance, Security, Enterprise Architecture.
- External: Suppliers and Professional Bodies (at Account and Senior Level)
