EUCLID CITY BOARD OF EDUCATION
Position: Registration Specialist
Reports to: Executive Director of Business Operations/Community Commitment Registration
Coordinator
Employment Status: Regular/Full-time
FLSA Status: Non-Exempt
Description: To ensure the smooth and efficient operation of the Registration Department so that students and families receive the maximum positive impact of the educational process and that the families feel valued, appreciated and supported in the enrollment process.
NOTE: The below lists are not ranked in order of importance
Essential Functions:
- Create a welcoming environment for families to complete the registration process primarily in the district.
- Process registrations of all new students PK-12.
- Make contact and develop a follow-up system with families who start an online registration in the district but do not immediately complete the process.
- Work with the Homeless and Foster Family Coordinators and the Student Services Department to ensure services required for those families are completed with precision and accuracy to ensure no delays in servicing the families.
- Be an expert with the laws governing requirements for students with special needs.
- Create contacts and positive relationships with foster families and court appointed guardianship and be creative in acquiring journal entries from case workers and records requested from other school districts that are necessary to complete enrollment.
- Provide specialized needs for Early Learning Center Registrations.
- Complete student transcript requests.
- Notarize residency affidavits and other student record documents.
- Complete student work permit applications.
- Assist with returned mail and send follow up communication to home.
- Handle communications with school districts of withdrawn and newly enrolled students and track student withdrawals.
- Maintain a daily log of registrations, change of address and number of records scanned.
- Maintain boundary exceptions and overcrowded placement records and sends necessary letters.
- Manage student records requests.
- Handle communications with the school district of withdrawn and new enrolled students.
- Maintain and verify student enrollment records.
- Complete student transcript requests, verification requests and social security requests.
- Collect, track and deposit fees for transcripts and student records.
- Assist with the registration process for the STEM school lottery.
- Notarize residency affidavits and other student record documents and transcripts; serves as
Notary for district.
- Assist with the scanning and purging of student records.
- Coordinate with the EMIS Coordinator to accurately maintain student enrollment records and that all errors are corrected in a timely manner to ensure that funding due to the district is accurate and prompt.
- Collaborate with Student Services, Transportation, Technology, EMIS and building principals (or designees) as needed.
- Assist the Community Commitment/Registration Coordinator to sponsor recruiting events around the city.
- Assist with the setup of registration booths at events on and off our campuses.
Other Duties and Responsibilities:
- Must be available to work occasional night/weekend hours.
- During high registration months, flexible hours will be required to ensure that our families have flexibility and their schedules are prioritized to make registration most convenient for them.
- Interact in a positive manner with staff, students and parents.
- Make contact with the public with tact and diplomacy.
- Promote good community relations by personal appearance, positive attitude and a willingness to remove barriers for families and students wherever possible.
- Demonstrate regular and punctual attendance and positive work ethic.
- Perform other duties as assigned by the Executive Director of Business Operations and Community
Commitment/Registration Coordinator.
Qualifications:
- High School Diploma.
- Bachelor's Degree is preferred, or a history of extensive work experience.
- Such alternatives to the above qualifications as the Superintendent and/or Board of Education may find appropriate.
Required Knowledge, Skills, and Abilities:

- Ability to work with multiple software programs, including but not limited to: Microsoft Word, Microsoft
Excel, Infinite Campus (and other student information database systems), and Google Suite.

Evaluation: Performance of this job will be evaluated annually in accordance with the provisions in the Board of Education policy regarding evaluation of support staff personnel.
Job Type: Full-time
Pay: $22.50 - $28.20 per hour
