Position Summary

You will be a part of a team overseeing the planning and execution for best-in-class national tradeshow, conference and meeting experiences on behalf of leading Trade Associations. Our team of experienced professionals provides turn key event management services, including full service housing management, meeting planning, exhibit & sponsorship sales and attendee & exhibitor promotions. With more than 200 years of combined industry experience, the EAG team has evolved and refined its approach to deliver seamless events that surpass our association partners’ objectives and expectations.

The Housing Project Manager reports to Director of Strategic Accounts. The core function of the Housing Project Manager is the coordination of Housing & Registration Interface for in-person events and other related duties to create a successful experience for the attendees, exhibitors & Sponsors.

The Housing Project Manager position requires an organized, enthusiastic, and flexible individual who is capable of thinking on her/his feet, takes initiative, when necessary, can work independently and is highly motivated. The person should be creative and have excellent customer service skills.

Primary Duties And Responsibilities

  • Providing housing operations services for in-person meetings.
  • Creating and distributing RFP’s and securing hotel proposals.
  • Managing hotel room inventories via Cvent PassKey, assigning rooms for the events, working with the hotels with regard to room block optimization and rooming lists.
  • Maintaining current & historical inventory status and pick-up reports, tracking amenities & commissions.
  • Organizing and administer a mini-block program for exhibitors, sponsors and staff.
  • Reconciling the hotel Master Accounts, determine discrepancies and follow up.
  • Ensuring that venue contract obligations are met.
  • Administering projects in support the Director of Strategic Accounts.

Qualifications & Competencies

  • The ideal candidate for this position will have meeting planning experience, including site selection and working with hotels prior to, during and after an event.
  • Excellent organization skills, initiative, follow-up skills and attention to detail.
  • Proven ability to work on a variety of projects simultaneously and independently.
  • Strong skills in process management, database management, customer service and project management with ability to work independently and as part of a team.
  • Strong ability to prioritize multiple tasks and meet deadlines.
  • Demonstrated proficiency in MS Word, Excel & Outlook.
  • Vision, creativity, and an entrepreneurial spirit, combined with strong project management, organizational and communication skills are important in this position.

Other Requirements

  • Travel 2-4 weeks per year
  • Some evening and weekend work as needed
  • This is a full-time position in the EAG office located in the City of Fairfax, VA.
