Key Responsibilities:
- Office Administrative Support: Efficiently manage and coordinate various office activities such as managing correspondence, answering phone calls, scheduling meetings, and organizing calendars for the team, ensuring a smooth workflow and a positive work environment.
- Supply Management: Oversee the stocking of multiple items, including items in the warehouse. Creating and tracking PO's assuring payment are completed. Experience in SAP Concur a plus.
- Recruitment Assistance: Assist with high-volume seasonal recruiting and onboarding processes, contributing to the growth and success of our team.
- Visitor Engagement: Greet office visitors warmly and professionally, creating a welcoming atmosphere for guests and interview candidates. Monitor gate cameras allowing visitors to enter.
- Mail Handling: Manage inbound and outbound office mail, ensuring timely and accurate distribution.
- HR Support: Monitor and document messages by employees on the Call Out Line. Collaborate with the HR department to schedule meetings, interviews, and transportation arrangements, helping streamline internal processes.
- Event Planning: Organize and coordinate office events, meetings, conferences, venue bookings, and catering.
Qualifications:
- Administrative Proficiency: Demonstrated experience in administrative and clerical work, coupled with proficiency in the Microsoft Office suite.
- Effective Communication: Strong verbal and written communication skills to interact with colleagues, visitors, and candidates effectively.
- Exceptional Multitasking: Proven ability to handle multiple tasks and responsibilities simultaneously while maintaining attention to detail.
- Positive Demeanor: Friendly, approachable, and upbeat personality to create a positive atmosphere within the office.
Working conditions:
- Day shift primarily M-F, 8:30am to 5:00pm, 40 hours/week, full-time non-exempt. Occasional evening or weekends.
- This position requires sitting (70%), standing (10%), and walking (20%). It requires computer work involving extensive use of keyboard, mouse, and monitor; and occasionally requires lifting materials up to 50 lbs.
