Administrative Coordinator
 
CLIENT ASSOCIATION: Hematology/Oncology Pharmacy Association (HOPA)
REPORTS TO: Director of Education
DIRECT REPORTS: None
STATUS: Non-Exempt (37.5 hours/week)
 
GENERAL SUMMARY
Responsible for supporting and advancing HOPA-sponsored educational activities, assisting with the coordination of projects and programs, communicating with members, customers, and volunteers, and providing general administrative support to the Education Team.
 
POSITION RESPONSIBILITIES (37.5 hours per week)
  • Provide customer support to members and other learners regarding activity registration and claiming of credits. 
  • Along with other team members, coordinate the tabulation of activity evaluation and outcomes data and the distribution of these data for analysis and review.
  • Support the education efforts of HOPA through report generation, member/customer support, updating and maintaining various trackers and providing support to the Education team as needed.
  • Coordinate the manuscript review CME process in the learning management system.
  • Assist with the maintenance of the HOPA’s learning management system.
  • Provide support for the Annual Conference and Practice Management Conference.
  • Interface in a professional manner with pharmacists, vendors, outside staff and others as needed.
  • Answer calls and emails with excellent customer service.
  • Provide general committee support as needed including scheduling meetings, coordinating meeting materials, writing and distributing agendas and minutes, etc.
  • Other duties as assigned.
 
AMOUNT OF TRAVEL REQUIRED: Possibly 1-2 weeks per year; some weekend and evening work may be required.
 
EDUCATION/EXPERIENCE REQUIRED: Bachelor’s degree preferred or 1-3 years of relevant experience. Computer proficiency, outstanding customer service, interpersonal, organizational, and communications skills, high accuracy and attention-to-detail. Ability to work successfully in a team environment.
 
*This position is located in downtown Milwaukee, WI and dedicated weekly days in the office are a requirement of the role.
