Position Summary
We are actively recruiting for a Payroll Implementation Manager to join our growing team.
The primary responsibility of the Payroll Implementation Manager is to oversee the successful continued operations of payroll processing. This includes directing the workflow, providing support to the new team members, and having successful conversion in an effort to provide a seamless on-boarding experience for new affiliates.

Responsibilities
- Oversees and manages the successful onboarding of new affiliates in multiple states/localities for payroll/hr and related services ensuring accurate and timely implementation.
- Analyzes payroll/hr data supplied by affiliates for accuracy and completeness, inputs and balances payroll data accurately, processes payroll, and reviews/analyzes payroll reports for accuracy and distributes as needed.
- Interfaces with department management and other internal constituents to support actions and initiatives, which improve processes.
- Supports process and audit efforts to ensure integrity and accountability for Fair Labor Standards Act (FLSA) compliance.
- Provides customer-focused interaction ensuring timely response and effective follow-up internal requests and/or issues.
- Participates in testing of new payroll processes and enhancements.
- Provides oversight and direction to payroll team.
- Coaches, trains, mentors, and develops payroll team.
- Responsible for measuring performance, hiring, disciplining, and terminating payroll team, in conjunction with HR and manager.
- Manages the HRIS build out as a Certified Configuration specialist and reviews and approves SRS.
- Serves as first point of contact to onboarding new affiliates to ensure items are received timely.
- Oversees timeclocks in conjunction with IT and HRIS Analyst.
- Maintains a master insurance playbook (OMIC) for onboarding affiliates.
- Maintains knowledge of current payroll tax requirements and relevant laws associated with the processing of employee wage data, including payroll taxes, employee federal and state income and social security taxes, and other required reporting.
- Develops processes and protocols to direct the collection, calculations and entering of pay data; track and deduct all wage garnishments, special payroll deductions, and other involuntary court-ordered payments in a timely manner.
- Responsible for the preparation and timely processing of bi-weekly staff and physician payroll in accordance with federal and state regulations for new affiliations; manages a successful transition to payroll specialists to oversee affiliate in their assigned pay group.
- Review and analyze current payroll, benefits and tax procedures to recommend and implement changes leading to best practice operations; audits payroll balance sheets, W-4’s, and YTD earnings.
- Conducts regular payroll reporting as required on a weekly, monthly, quarterly, yearly basis (i.e. gross pay, YTD, hours worked, PTO accrual, tax deduction, benefit deduction, etc.).
- Leads annual 401k audit and proper filing of the annual Form 5500; assists with financial audits related to pay records and associated general ledger.
- Processes fiscal year-end reports and reconciles W-2 information for accuracy; reports and documents any discrepancies in payroll processing to maintain clear record of reconciliation and adjustments.
- Provides support to employees regarding schedules and time and attendance administration; oversee administration of the electronic timekeeping system; review and monitor submissions of approved timesheets to ensure accuracy of valid data transfer to/from payroll system.
- Responsible for the management of the company’s retirement plan; facilitates the process of new groups joining the plan as well as mergers with existing plans; makes recommendations regarding plan design and benefit improvements, while ensuring the plan follows all ERISA, IRSA and DOL regulations and requirements
- Regularly interacts with local practice administrators and key support staff to serve as a valuable resource in developing and executing their practice level goals.
- Contributes to the team effort by completing additional task/projects as needed.
- This position requires an extremely detail-orientated person with significant knowledge of payroll administration, including state and federal regulations
- Must be a self-starter and able to accomplish expected tasks under minimal supervision with the ability to handle and prioritize multiple tasks and meet deadlines.
- Maintain strong organizational skills, the ability to work under pressure, and exercise a high degree of diplomacy and tact.
- Excellent customer service and interpersonal communication skills, practices cultural sensitivity, and demonstrates ability to work with diverse people groups.
- Ability to maintain confidentiality and exercise extreme discretion, with excellent problem-solving skills, and high level of attention to detail and accuracy.
Qualifications
- Bachelor’s degree in business, accounting or related field required or the equivalent of 3-5 years related experience
- 3 years of specialized Multi-state Payroll experience required
- 2 years of management experience required
- 3 years of payroll implementation experience required
- Knowledge of UKG HRIS system preferred
- Merger and Acquisition Implementation experience preferred
- Working knowledge of FLSA and ERISA compliance preferred
- Certified Payroll Professional (CPP) certification preferred
- This position requires an extremely detail-orientated person with significant knowledge of payroll administration, including state and federal regulations
